2020: Overview of HR Processes for Directum RX

Electronic personnel document flow is included into the agenda of the national program "Digital economy" and is the priority direction of development safe IT infrastrukturyrossiyskoy Federations.

Directum is involved in an experiment with the Ministry of Labor from the 24.04.2020 on the use of electronic documents related to the work. The "HR-processes" solution not only meets the requirements of 122-FZ, but also is checked in "combat conditions" by the developer's employees.

The HR Processes solution includes several options for working with personnel documents, allowing organizations to gradually prepare for the transfer of personnel documents to electronic form. Companies can choose the most appropriate approach:

  • Classic automation of business processes. Allows you to speed up HR processes, while personnel documents are stored in traditional paper form;
  • partial translation of documents into electronic form. Only employment contracts and supplementary agreements are kept in paper form, the remaining personnel documents become electronic;
  • fully digital interaction. All work with personnel documents takes place in electronic form.

With partial and complete transfer to electronic form, personnel documents are signed by electronic signature (EP). The system supports both enhanced and simple EP.

Functionality

Consideration of candidates. The HR specialist can easily arrange a meeting of the candidate with all interested employees and agree on its results. Due to digitalization, business processes are accelerated, and the decision on the candidate is made quickly.

Hiring. You can create a set of necessary documents in one click: an employment contract, an order to accept an employee, an application to join electronic interaction and consent to the processing of personal data. Information from the system is automatically inserted into the text.

Transfers and separations of employees. The employee independently initiates processes with the participation of all interested services: administrative and economic department, security service, accounting, etc.

Legally relevant familiarization. Employees of the company can be quickly familiarized with internal orders. Familiarization takes place in the system with electronic signature.

Personnel statements. You can configure the solution to work with different types of applications. For example, for material assistance, payment of benefits, change of personal data.

Organization of holidays. Work with leave is based on the needs of the organization: leave is provided according to the approved schedule or at the request of the employee. Any type of vacation is supported, including additional ones. Holidays are set up flexibly and individually for each employee, taking into account the duration and possibility of compensating for a particular type of vacation.

Employees can quickly plan or change leave, and the manager can monitor the current state of leave in the department and organization:

  • The system starts scheduling on a configured schedule. The HR specialist does not need to start and monitor the process manually.
  • The leave end date is determined automatically. It is sufficient for the employee to specify the start and duration of the period, and the end date is calculated by itself taking into account public holidays. The system also monitors that one part of the leave is at least 14 days, as required by labor law.
  • The summary report helps you check the intersections of vacations. It clearly shows all planned holidays in the department, their duration, and the number of employees that will be absent at the same time.
  • The T-7 schedule is created automatically. After signing it, the system tracks scheduled holidays and sends notifications to employees.
  • You can transfer the vacation in a couple of clicks: the employee changes the parameters and sends the update for approval.

Travel organization. You can make a business trip in a couple of clicks with compliance with company regulations: coordination of travel documents and expenses with automatic limit control.
