The decision on implementation of EDMS always sets the management thinking of an issue of training of the employees in work in a new system, with the unusual interface. Not only resources, but also time that new processes became a habit are necessary, and the usual speed of work of all organization and certain workers did not fall. Now these losses managed to be reduced to zero, thanks to emergence of new add-on modules for integration of usual Microsoft applications of Outlook and Microsoft Office Word into the workflow system DocsVision.
DocsVision the client for Microsoft Office allows to make simple transactions with documents and business processes directly of Microsoft Word application, without use of the DocsVision Navigator. It allows to automate work with documents of most of users of an enterprise information system without the need for mastering of the additional software by them - in the interface of Microsoft Office application which is well mastered by them.
Important difference of the Office-client from the DocsVision toolbar is an opportunity not only to save the file in archive of documents, but also to work in the context of business processes: perform simple approval, vising, signing of the document (including the electronic signature), commenting and annotation. Convenient mechanisms of transfer of the document in the organization and outside the organization, including a possibility of transfer of the document together with structured data are provided to the organization outside.
The module EDMS DocsVision 'The Client for Microsoft Office' (further the Office-client) expands standard functionality of Microsoft Word application, integrating into it the EDMS DocsVision additional functions which can be used directly in Microsoft Word application. Let's stop on some interesting opportunities which are given by the Office-client of DocsVision.
First, it is an opportunity during creation of the document in Microsoft Word to add to it data from different reference books of EDMS DocsVision. At the same time data can be added as to a text part of the document (a document body), and to its structured part (the additional DocsVision form). Data from the structured part will not be displayed in the text of the document, but according to them it will be possible to process the document in EDMS DocsVision. Also, in the structured part, functions which can be used for the organization of simple approval of the document, his commenting and annotation can be placed.
Secondly, the Office-client of DocsVision allows to tie the business process automating processing of the document Microsoft Word of EDMS DocsVision to the document Microsoft Word, for example, to register it in EDMS according to regulations of the organization, to appoint tasks to the employees for acquaintance with this document or its approval, to send the copy of the document both in the organization, and out of its limits.
And the third: when preserving the document in Microsoft Word for which the Office-client of DocsVision was set the file is saved as usual on the file system and also automatically on the DocsVision server in the database. Further, when opening any copy of this file, data will be synchronized with data of the file which is stored in the DocsVision database. It will provide the reliable and protected storage of the uniform copy of the document. Both automatic, and manual support of version control, including comparison and recovery of document revisions is also implemented at a certain point in time.
In addition, the Office-client of DocsVision allows to create directly from the document Microsoft Word a new card of the registration document in EDMS DocsVision or to add the document to already existing card to EDMS. Also there was a sales opportunity of joint work with documents with a possibility of accumulation of changes, and to return to any document revision (support of version control).
