SAP RCM (Record and Case Management) allows how to create files directly from a system (it is about document templates to which organizational and technical data get from SAP applications), and to attach the scanned documents. Each document has the status scheme which allows to describe all its lifecycle from creation process, before transfer to archive. Documents can refer to the predecessors, for example, on higher documents that is also provided with systems capabilities by means of so-called "hierarchy of documents". In case of change of the document a system automatically creates its new version with indication of changed, date and time of change. There is a possibility of consolidation of documents in case that allows to perform their storage in uniform "folder". An interesting opportunity can be considered automatic reading on the attached photos of objects of power grid economy (to substation, the power transmission line, TP, etc.) GPS coordinates of these objects.
Rather often before Business there is a problem of updating of documents and/or technical objects, and this process should be controlled on completion dates. SAP RCM allows to perform problem definition on updatings, their automatic distribution according to an organization structure and business processes of the enterprise, setup and use of schemes of consideration (formation of the working groups "on the fly"). There is a possibility of control of terms of passing of a task as at the level of an individual contractor, and group of assigned tasks, a possibility of sending a task for reconsideration and its deviation in process with resending for completion, maintaining a tape of actions (correspondences, comments), etc. All key events in processing of tasks and documents are followed by notifications (letters in a SAP system and/or MS Outlook).
