Unlike the commonly accepted security policies protecting confidential data from copying and transfer on electronic channels, SafeCopy allows to identify and control all digital copies created in the course of document flow and also it is reliable to protect their printing copies. Unique identifiers of digital copies and the hidden marking of the printed documents will allow to identify quickly those who intentionally or on negligence threaten confidentiality of corporate information.

Markers are imperceptible with the naked eye, but in case of the leak marked printing or the PDF-document revision, specialists of the company will be able to identify it even according to the photo and precisely to tell for which of employees it is registered.

2019: Obtaining the patent for "A method of ensuring safe use of the electronic document" using SafeCopy

In September the Federal Service for Intellectual Property registered the patent for "A method of ensuring safe use of the electronic document" which implements the solution SafeCopy. On October 29, 2019 the Scientific Research Institute SOKB company reported about it.

The patented method provides protection against unauthorized copying of electronic documents, photography of the printed documents or documents from monitors of computers. At the heart of a method the principle at which each user works only with the unique and personalized copy of the document is underlain.

Thus, the copy or a photo of the personalized copy of the document unambiguously indicates a leak source. The results received at SafeCopy application can be also used in the course of legal proceedings for preparation of expert opinions or the commissions according to the Federal law of May 31, 2001 N 73-FZ "About the state judicial and expert activity in the Russian Federation".

2017: Integration of SafeCopy with EDMS Docsvision

Integration of an electronic document management system of Docsvision into the solution SafeCopy allows to prevent distribution of the printing and electronic confidential documents and also their (photo) of copies which are stored in EDMS. This opportunity - result of technology partnership of DocsVision company and Scientific and test institute of the systems of ensuring complex security (Scientific Research Institute SOKB) which began in 2017.

In electronic document management systems the documents having confidential character collect day after day. Protection of this category of documents becomes more and more relevant task.

In 67% of cases the staff of the companies was responsible for information leaks. Under the threat there is crucial information of the company, and the extent of potential financial damage can reach the cost of all business at all. At the same time to control actions of privileged users whose information access is almost not limited — extremely difficult.

Technologies which are offered by experts in questions of information security - Scientific Research Institute SOKB company – will allow to simplify this task for users of an electronic document management system of Docsvision. Integration of Docsvision into the solution SafeCopy prevents distribution of printing and electronic confidential documents. Each user in the Docsvision system having access to printing and electronic confidential corporate documents will work only with the unique copy which distribution will lead to uniquely identifying of a source of leak of the document.

2016: SafeCopy-xConfiDoc for protection of electronic and printing copies of documents

It is considered that terms cyber security and cyberthreats – are applicable only to data which are stored in a digital form in computers, DWH, mobile devices. However, when the document goes to printing or is processed on the scanning device - it is too real threat of date leak which, as a rule, is out of sight of corporate security services. At the same time the negative impact on business which occurs owing to leaks of confidential information at printing of documents assumes a frightening scale.


The companies "SCIENTIFIC RESEARCH INSTITUTE OF SOKB", Innovative technologies and Konica Minolta, the developed SafeCopy-xConfiDoc – a hardware and software system for protection of printing and electronic documents attended to the solution to this problem. The solution allows to define unambiguously the user – the owner of the confidential document which became a leak source even if this document was printed by different users hundreds of times.

The solution allows to create the unified managed corporate environment of printing and scanning based on multi-function printers (MFPs) and provides protection of confidential documents. SafeCopy-xConfiDoc consists of several components: the SafeCopy application for protection of printing documents, the YSoft SafeQ 5 application for management and monitoring of infrastructure of printing and the hardware – the MFP of A4 and A3 format from Konica Minolta.


According to developers, there are three main ways of leak of documents: carrying out of the original or its copy, photography of the original go transfer of the electronic copy (for example, in the PDF format) on the Internet.

The logic of work of the solution can be described as follows. The employee of office in which workplace the client software of SafeCopy-xConfiDoc or the connector EDMS is set sends a task for printing via the software of SafeQ which checks the rights of the user and the rule appointed for this user. If the user has the right to print, then further the program service of monitoring of ports of printing Konica Minolta defines task markers – whether there is in a task a need to protect the printed document? If such marker is, then the SafeCopy service creating the protected copy of the document and the marking electronic document for return to SafeQ print queue is automatically called. Already marked document from the protected SafeQ environment goes to printing to the MFP. Further the document goes to printing. At the same time for the employee printing process does not change, it prints as usual. The solution SafeCopy-xConfiDoc can operate normally for all employees or can be configured on a branch-off group of employees. For convenience of using of solutions in the companies with the existing regulations of work with confidential documents, the solution can be used in regime of the secretary/security officer when one employee prints the protected personal files and issues them to employees for whom they were created.

In case of an incident, for example, when the photo of the printed document got to the Internet, the security officer loads this photo or the copy of the compromised document into the recognition module, places four tags at the edges of the text – to remove unnecessary artifacts, fields, etc. from recognition process - and starts the program of checking. The mathematical algorithm based on affine transformations, modifications interalphabetic and line spacings which allow to define unambiguously communication of a copy and its author is the cornerstone of the solution.


In November, 2016 on a program part of the solution SafeCopy-xConfiDoc the certificate of conformity of FSTEC was received that opens ample opportunities for application of a product in the state organizations where requirements to a class of security of software and the equipment are regulated.

Konica Minolta participated in the project as the partner who not just invested resources when developing but also on a daily basis took part in creation and start of a product. Printing office systems of Konica Minolta correspond to ISO 15408 on general criterions of assessment of safety of IT (Common Criteria for Information Technology Security Evaluation or in abbreviated form – Common Criteria) according to IEEE 2600.1 – the standard of a profile of protection for printing devices in the conditions of restriction of use of confidential information. Use of the software solution YSoft SafeQ 5 provides process management of printing, copying and scanning using different user authentication methods – a name, the password, the PIN code or a card. The program controls use of devices, gives the chance to the administrator to expose restrictions for types and types of printing and scanning and also to set storage lives of documents on the server. In addition, YSoft SafeQ 5 keeps the cost accounting on printing infrastructure, has reporting system and monitoring of printing, copying and scanning, supports printing from the mobile phone and allows to print safely the document at any office of the company.

Developers note that theoretically SafeCopy-xConfiDoc can be integrated with a printing equipment of any vendor – however in this case the last should invest examination and considerable working time of employees in integration of products, to provide SDK also API for communication of the MFP and SafeCopy-xConfiDoc.


Dmitry Sivokhin designated the cost of the standard project on system implementation on 100 users in 3 million rubles, at the same time annual maintenance of a system makes about 20% of the cost of the contract. The perpetual license on one workplace costs 30 thousand rubles. In comparison with billion risks of leaks, for the organizations of federal scale it is acceptable money, developers are sure.
