The Olympus — Personnel Management system allows to automate and arrange all basic processes of planning, accounting and analysis of personnel of the enterprises.
Main functionality of a system:
- Maintaining electronic filing of the employees and other persons provided by a personal card and the standard questionnaire of the employee;
- Operational preparation and formation of documents of department of work and salary;
- The centralized storage of administrative documents, on accounting of the movement of personnel of the organization;
- Formation of the staff list, automatic selection of the available vacancies, the analysis of compliance of structure of divisions to the existing staff list;
- The automated accounting of a worked time for payroll and creation of the sheet of working time of employees;
- Planning of wage fund depending on the set number of working hours and the basic amount of salaries taking into account allowances;
- Automatic calculation of experiences of employees;
- Maintaining electronic archive of HR department of the enterprise.
- Formation of a talent pool of the enterprise.
The Olympus — Personnel Management system is separated into three modules: "Personnel card file", Staff list, Time keeping. In a system the possibility of setup of access rights of separate user groups to data on personnel is organized.
Personnel card file
Model it is intended for maintaining electronic filing of employees, storage and employee analysis and other persons.
Maintaining personal cards
Data of the module completely cover a personal card (T2 forms) and the standard questionnaire. Be among these data:
- Main information;
- Education, advanced training, training, retraining, knowledge of foreign languages;
- Family composition;
- Appointments and movements;
- Holidays and responses from a holiday, the periods of use of holidays;
- Encouragement, awards and honorary titles;
- Sick-lists and data on incidence;
- State duties, donor and other documents paid for an average;
- Military accounting;
- Prior workplaces;
- Collectings and labor misconduct;
- Business trips;
- Other data in the form of different documents: text, graphic, video and sound files;
- Registration address and accommodation;
- Certificates of disability;
- Length of service (any any kinds of an experience, automatic calculation on the basis of the entered periods of the previous work).
Personnel document flow
The module "Personnel Card File" gives the chance to automate personnel document flow in the organization, to create and print the wide list of personnel documents. All documents correspond to the operating unified forms. Among such documents there are personal and group documents on:
- Employment;
- Movement of the employee (temporary transfer of the employee, transfer to other working conditions);
- Providing a holiday, response from a holiday;
- Change of a salary or the allowance with automatic formation of data for settlement department of accounting;
- Assignment of a cool rank (ranks, categories of qualification);
- Business trip and registration of the other absences (paid for an average);
- Registration of passing of certification and passing qualification examinations.
- Automatic formation of orders on transfers by reorganization of structure of the enterprise.
At the program there is an opportunity to create the vacation schedule and to carry out the analysis of use of holidays for the periods. Also there is an opportunity to make the diagram of carrying out employee assessment with automatic selection of workers of subjects of certification.
Data analysis about personnel
It is "manually" rather difficult obtain evident information on employees for the analysis and forecasting. The module "Personnel Card File" solves this difficult problem, providing information on personnel on groups, on positions and professions, on number, on types of experiences and other data in a user-friendly type.
In a system it is possible to print a large number of reports, such as list of the working employees, a personal card of the employee, the report of number on different criteria and many other things. Except that from a system print information, it can be exported to applications MS Office and OpenOffice.
"A request system" allows to receive different selections of the data on necessary criteria entered into the program. Criteria there can be an unlimited number. Design of selection can be executed by any user of the program irrespective of the level of its qualification.
Archiving of information on employees
Archiving of data on employees — the convenient instrument of information storage about the dismissed employees. Transferring of data to special archive gives the chance to exempt a "working" card file from seldom used data. It is possible to address archive information at any time and to receive the information about the dismissed workers in full. Always it is possible to return data from archive to the operating card file.
Staff list
The module automates accounting of the staff list, an order of input and data processing to acceptance of workers on a position of the staff list.
Functionality of the module:
- formation of an organization structure of the enterprise of any complexity in the form of hierarchical "tree" of divisions;
- formation of the staff list of structural divisions and its output to printing;
- the analysis of compliance of the actual structure of divisions to the existing staff list;
- analysis of fullness of the staff list;
- automatic formation of orders on dismissal / transfer according to the period of action of an established post;
- automatic selection of candidates for positions of the staff list according to the data of personnel records.
- automatic formations of the list of suitable workers as registered at the enterprise, and on a card file of candidates;
- an opportunity to trace a change history of the staff list.
Time keeping
The module automates work of timekeepers on filling of sheets and is intended for a time recording and formation of different reports on its use.
Possibilities of the module:
- Setup of different working schedules (7-hour, 8-hour, diagrams of interchangeability and others).
- Automatic formation of the sheet on the basis of working schedules and taking into account documents: orders on providing a holiday, sick leave notes, orders on the direction in a business trip, the other documents testimonial of absence of workers in a workplace for the reasons paid for an average.
- Accounting of movements of workers during the interperiod. Automatic reflection of the periods of work of employees taking into account acceptance, transfer, dismissal of workers. Accounting of transfers of workers from crew in crew, from section on section, from the diagram on the diagram.
- Automatic calculation of a number of hours of overtime work per every day and for the accounting period.
Tracking of exceeding of 120 working hours overtime in a year.
- Filling of sheets for one working in different divisions (workshops) for accounting of temporary transfers.
- Automatic reorganization of the sheet at change "backdating" information of registration of personnel.
- Formation of the sheet — correction of a previous period.
- Possibility of filling of a total on monthly results.
In a system the sheet of a time recording forms on the basis of registration of deviations from the working schedule. Deviations can be registered by documents (sick leave notes, orders on providing a holiday and other) and these deviations are automatically displayed in the sheet after document registration, and can be recorded "manually". In need of the sheet it is possible to consider part-time, idle times or any other deviations in specific day.
In the module "Time keeping" separation of access for timekeepers on different divisions is performed. On the basis of a time recording data for payroll, the analysis of use of working time and calculation of average number automatically form.
