  • In 1995-1999 the Monolith of DOS system was used

  • Since 2006 replacement by Monolith of SQL 4.0. Circuits Management of finance and Sales management are transferred to the new version of a system. Further based on "SQL 4.0 Monolith" the centralized CIS which will provide functioning of all plants and sales divisions of Baltika company will be created. The functionality of a complex, sglasno to the description, meets standards ERP and MRP II. A system supports requirements not only the Russian legislation, but also International Financial Reporting Standards (IFRS) and USA GAAP. According to developers, the new version ERP systems has higher performance, efficiency and reliability of functioning that should reduce the total cost of its operation. Also, integration of a system with preparing for release Microsoft Office of 2007 is provided.

The new version of the Monolith of SQL complex was developed in cooperation with the Russian representative office of Microsoft.

  • In 2010 a number of projects on development of a corporate information system in the field of purchase management, by logistics, control and production planning is implemented, the Storages of Electronic Documents system is implemented.

2011: Implementation of the module of project management

In October, 2011 Monolit-Info and Baltika company announced completion of complex testing of the automated control system for projects created based on the corporate information system "ERP Monolit". This solution allows to increase efficiency of planning and decision making of the company. Now there is a pilot operation of a system when all projects are consistently entered into it. In 2012 project management of operational directorate of brewery will be conducted in a new system.

Main objective of the automated system implemented on Baltika which formation began in May, 2010 – increase in efficiency of planning and decision making due to integration within single solution of the different functional units used for work on projects. Besides, it was required to provide a user-friendly and flexible interface for the analysis of completion dates of projects, loadings of resources and risks of failure of the project on terms, resources or the budget. The staff of Baltika from different divisions took part in development, in addition to Monolit-Info company.

Alexander Plotkin, development director of Monolit-Info Ltd:

"A main objective of the project is providing the factual information necessary for improvement of speed and quality of decision making, efficiency and effectiveness of business. In modern global economy only the companies which are timely obtaining the necessary information can perform the correct strategic planning and provide implementation of the strategic, tactical and operational decisions necessary for achievement of goals of business".

The received solution allows in unified operating environment:

  • manage the working schedule and resources;
  • conduct document flow;
  • manage work of suppliers;
  • exercise financial planning and budget control;
  • analyze project risks on terms, resources or the budget.

The new software product allows to trace completely the project course from beginning to end, to see at what stage there is a project work now who is engaged in it and where investments are directed. The new features of a system implemented within the project are joined with the modules "ERP Monolith" which are already used in the company. The automated control system for projects facilitates the analysis of completion dates of the project or group of the connected projects, loadings of resources, risks of failure of the project on terms, resources or the budget.

Earlier for work on projects separate blocks of an information system were used: for drawing up diagrams, accounting of financing, conducting document flow. The Microsoft Project program was in addition applied. At the moment specialists of operational directorate of Baltika company control execution about 300 different projects which need of systematization was extremely relevant. Advantages of uniform work area: objectivity in project evaluation by participants, high efficiency in planning and decision making.

2011 — 2013: Automation of electronic archive of documents

On October 7, 2013 the Monolit-Info company announced end of the third stage of the project of automation of electronic archive of documents of Baltika company.

The project of creation of electronic archive of accounting and finance documents on the Monolith platform ERP is implemented since 2011 when the pilot project, with the subsequent step-by-step connection to the system of separate document groups was executed. In the first half of the year 2013 the third queue of a system including the documents connected with tendering process and also with processing of addresses from partners is implemented and put in operation.

The implemented solution contains means of support of line scanning of documents with automatic separation into packets and types, with an automatic binding to the documents ERP systems. Marking of primary documents barcodes allows to separate automatically the data obtained as a result of line scanning into separate packets, to identify documents of the ERP system to which packets belong, to separate packets into separate document types. A system contains management tools process of approval (statement) of documents and also opportunities for management of originals of primary documents of archive.

2015: Connection of Baltika to the Unified State Automated Information System

Since January 1, 2016 separate divisions of Baltika Brewery (18 divisions in different regions of Russia) are connected to transport module of the Unified State Automated Information System system. Earlier, since October 1, 2015, all production sites of the company (8 plants) were connected to main system of the Unified State Automated Information System. Connection to the Unified State Automated Information System is executed at the level of the main core of an information system of the company working at the Monolith platform ERP. Integration with the Unified State Automated Information System was executed by Monolit-Info company — the business partner and the developer of a corporate information system of Baltika.

Conditions and project tasks

This project became obligatory for Baltika as producer and supplier of alcoholic products — without it there would be illegal operating activities of the company (from 10/1/2015 for the plants and from 1/1/2016 for separate divisions). Need of interaction with Federal Service for Alcohol Market Regulation and its contractors developing the Unified State Automated Information System different components by the different principles and program interfaces became additional complexity of the project. Also it was required to provide fulfillment of requirements of the different buyers of Baltika sometimes contradicting each other.

Thus, project tasks were:

  • The choice of a server architecture of interaction by the centralized ERP the Monolith with decentralized Unified State Automated Information System production and Unified State Automated Information System wholesale
  • Ensuring integration of the IC of Baltika about Unified State Automated Information System production and Unified State Automated Information System wholesale
  • Support of work with reference books of the Unified State Automated Information System
  • Accomplishment of additional requirements of buyers of Baltika
  • Business process optimization, the mentioned projects; minimization of a negative impact of the Unified State Automated Information System on operating activities of the company and work of users; minimization of the conflicts of requirements of the Unified State Automated Information System with requirements of accounting and tax accounting, electronic exchange of invoices, electronic exchange according to the EDI standard
  • Creation of lot-based accounting of finished goods means of ERP the Monolith in coordination with the lot-based accounting which is conducted in the Unified State Automated Information System

Course and development plans for the project

Integration of all documents connected with the movement of finished goods and goods of third-party production is executed – completion of processing of each document is preceded by exchange with the Unified State Automated Information System system. Without it any car with products cannot leave the territory of a warehouse. Start demanded considerable review of the key business processes of the company connected with release, movement and shipment of products, processing of returns and claims, printings of primary documents. On separate divisions lot-based accounting of the movement of products is started.

Project Steps:

  • From 4/1/2015 design of functionality of ERP the Monolith and changes business of processes of logistics of GP is begun
  • From 7/1/2015 the pilot project on production sites is started
  • From 10/1/2015 integration from the Unified State Automated Information System at production sites is brought into commercial operation
  • From 10/1/2015 design of functionality of interaction is begun with the Unified State Automated Information System for separate divisions
  • From 1/1/2016 work of separate divisions of Baltika with the Unified State Automated Information System is brought into commercial operation
  • Support of the project and development of additional service functions is at the moment executed

The functions implemented within the project

During the project the following functions were implemented:

  • integration of ERP the Monolith about Unified State Automated Information System production;
  • integration of ERP the Monolith about Unified State Automated Information System wholesale;
  • review and business process optimization in the field of warehouse and transport logistics of finished goods;
  • lot-based accounting of finished goods in warehouses of separate divisions;
  • modification of exchanges of electronic invoices and exchanges according to the EDI standard;
  • modification of formation of primary documents.

Dimension of the project

About the scale and importance of the project it is possible to judge by the fact that within the implemented functionality on average in a month about 40,000 documents are processed from production sites (plants) now, and about 42,000 documents from separate divisions.
