On November 11, 2014 the Alyans insurance company transferred[1] management of printing infrastructure on outsourcing of Xerox company.

Choosing a Solution

According to the results of the held tender preference was given to Xerox company whose offer not just answered expectations by price parameters, but also contained the reasoned plan of changes in infrastructure management of printing which had to provide steady cost reduction in the long term. This plan meant rationalization of the park of the printing equipment, change of printing processes in offices, the organization of a control system of key KPI and providing the management reporting.

Project Progress

The service provision agreement on management of printing infrastructure was signed in 2013. At a stage of implementation of service regulations of interaction of the customer and contractor were approved, placement of local mini-warehouses of spare parts and supplies is planned, the substitution fund of the equipment is created, the customer support department is created. Registration of requests of users and also the incidents created proactively on the basis of information obtained from printing devices by remote monitoring is conducted in the Xerox Service Manager (XSM) system.

Already now, after completion of implementation of service and the first stage of optimization, the indicator of economy reached 20%. Further implementation of conversions to areas of the organization of printing processes and system implementation of audit will allow to achieve Alliance a bigger cost reduction on printing.

Result

Implementation of service allowed the customer to optimize the park of the peripheral equipment and to reduce costs for 20%. The management of SK "Alliance" is going to continue optimization of office infrastructure due to reduction of amount of inappropriate printing.

Systematic work on two others – to creation of the managed and safe environment of printing and simplification of dokumentoyomky processes due to their automation is necessary to us".
"Management of office infrastructure treats those tasks which constantly remind of themselves separately in the list of expenses on IT, but to be engaged in a complex which usually there are not enough hands and time. The offer of Xerox became the optimal solution meeting our requirements, – Anton Repin, the director of the department of maintenance of IT infrastructure of JSC SK Alyans comments. – For rather short period we reached significant savings and now we set for Xerox a new task – consecutive decrease in amounts of inappropriate office printing".
