The Altai state pedagogical academy implements a management system for IT assets

On December 5, 2013 the system integrator Galex Scientific and technological center announced transition of one of the largest pedagogical universities of Siberia - the Altai state pedagogical academy on a single system of management of IT assets – Microsoft Software Asset Management.

Project Tasks

The big park of computers in Academies (more than 500 workstations) and a variety of an installed software was created by considerable difficulties of accounting and management of them as assets of the organization. With respect thereto the university makes the decision on need of system implementation on management of one of the most difficult considered assets – software licenses that would allow to optimize further their use and to cut down IT budget expenses.

For the solution of this task the Microsoft Software Asset Management (SAM) technology – the advanced methodology integrating effective tools and procedures of management of program assets and optimization of their use is selected. As the partner the Galex company is attracted to project implementation.

Project Progress

Experts of Galex together with IT specialists of Academy carried out a complete inventory of all PC park and an installed software. All information about used program and hardware assets is analyzed: data from the specialized programs and all documents of title (accounting documents, license agreements and agreements, certificates, certificates, etc.) containing schemes of purchase and licensing.

Project Results

The updated and structured information about what program assets the Academy where and how effectively they are used locates is as a result obtained.

On the basis of these data a number of recommendations about management of licenses for the next year and further perspective is developed. Use of approach of SAM on a permanent basis will allow Academy to learn at any time what software is in the organization where it is set whether everything licenses are available and whether there are no excesses among them - those which are not necessary any more, but for which the organization continues to pay. Completely implemented SAM program will help to cut down expenses, to raise the security level, to reduce risks and to authentically predict future needs for software.

Mikhail Aksenov, the head of department of information systems and Internet technologies of the Altai state pedagogical academy, noted: "Thanks to the help of the partner and Microsoft corporation we managed to book in a short time audit of licensing rights on products of Microsoft. The carried-out works allowed to build the further plan of tasks of development of IT infrastructure and management of licenses".

It should be noted especially that in Academy initially build infrastructure according to the best practices of management of IT. One of the main results of the project – the actions plan on increase in a maturity of asset management processes. Implementation of the plan will allow not only to bring order, to optimize acquisition of software licenses, but also will increase efficiency of return from investments made in IT.
