Belgorodenergosbyt implements EDMS

On June 27, 2014 it became known of project completion of implementation EDMS Directum in an IT environment of the company JSC Belgorodenergosbyt.

Project Tasks

The primary and business activities of Belgorodenergosbyt company generate a set of data. For management of data on 750 thousand to subscribers in the company it is used the billing and accounting systems collecting and processing financial information. Except individuals, "Belgorodenergosbyt" works also with corporate customers with whom monthly exchanges packets of primary documents. Management of flows of documents on the primary and business activities became for the company an uncommon task soon.

Starting reorganization of structure of financial document flow, organizing storage and exchange of primary documents, the company management of "Belgorodenergosbyt" decided to implement the solution "Intercorporate Financial and Accounting Document Flow" on the platform of the DIRECTUM system and Synerdocs service.

Project Progress

Implementation began at the end of 2013. The project consisted of two stages:

• system implementation of DIRECTUM
• implementation of Synerdocs service.

Regarding internal processes the archive of electronic documents is created, key documents on power sales and business activities are transferred to an electronic form. During the project all databases are united in the general space.

The organization structure of Belgorodenergosbyt company and special practice of document flow characteristic of power supply companies had an impact on the implementation course: the set of different solutions is tested - how to create packets to what time to send them how to prepare documents for sending to tax administration, etc. In total at the company about 17 thousand partners, on start of the project not everyone participated in exchange therefore to specialists of Synerdocs kept the project adjusted for future scaling.

Project Results

By June 27, 2014 a system is transferred to the mode of normal operation.

Sergey Chetverikov, the head on IT of JSC Belgorodenergosbyt, noted:

• The power industry traditionally is technology capacious sector of economy that causes high requirements to business organization of the power sales enterprises. Therefore we are in permanent search of best practices and solutions to save customer focus, high quality and efficiency of customer service. Transfer of financial and accounting document flow to an electronic form and transition to e-document flow of steel for us a serious stage in development of our internal infrastructure and the culture of interaction.
