"First Bit" has translated the central Bristol database into a new version of accounting software

2024: Translation of the central database to "1C: Accounting" ed. 2.0

"First Bit" replaced and updated the accounting system based on "1C: Accounting" ed. 2.0 with the current version of the product "1C: Accounting" ed. 3.0 for the Bristol network. This "First Bit" reported on October 4, 2024.

Before the project "1C: Accounting" ed. 2.0 was the core of the extensive IT Bristol system, more than a million documents passed through it every month. Moreover, it included not only the base for primary accounting, but also the key aggregator information in the company. The program receives data from retail points from the databases of the 1C: Trade Management"" system, and after processing and enrichment it transfers to several consumer bases.

In addition to the critical importance of the system for the operation of the business, as well as the large number of integrations and improvements in the historical product, the key complicating factor of the project was the short period of its implementation, which was limited to several months. The scope of the work included the transfer of four small databases data and one large one into the new system, preserving the pre-design architecture of the solution, i.e. without merging into a single database.

To have time to deploy the system on time, the team of the Paveletskaya project office of the First Bit IT integrator has developed three preventive measures.

The first was to set up a document-to-document exchange between the old and new 1C: Accounting systems. This made it possible to avoid the risks of violation of the project deadlines.

The second is the use of automated reconciliation data using a message broker. Apache Kafka At the time of the start of the 1C: Accounting project, rev. 2.0 was in operation for many years, and a large amount of accumulated information did not allow for prompt manual reconciliation.

The third measure was aimed at reducing the implementation time: specialists used flexible project management technology. The project team of the Paveletskaya office was divided into three sub-teams working in parallel as part of the general development plan. One sub-team developed all eleven inter-program integrations and adapted a complex cost calculation mechanism. The second carried out the development of 150 technical tasks in the main configuration. The third was responsible for the data reconciliation mechanism.

One of the most difficult improvements that had to be transferred to the new system was the cost calculation subsystem. It includes both accounting registers and a complex calculation algorithm. This mechanism allows you to calculate the cost of a unit of goods for each day in the context of batches, taking into account all possible types of adjustments and other accounting transactions.

An important factor in the success of the project was the loyalty to the Bristol functional user system, as well as the professionalism and high-quality management skills of the company's chief accountant, Privalova Lydia Nikolaevna. Separately, it is necessary to note the high level of qualifications and the rich experience of the IT team of the project on the part of Bristol. The project manager represented by Gaeva Inna and the technical architect represented by Dmitry Mikheev with their own team were able to enter the symbiosis with the employees of First Bit, which resulted in a strong management apparatus, "said Maria Alexandrycheva, project manager of the Paveletskaya project office of the First Bit IT integrator.

At the end of December 2023, Bristol and First Beat collectively decided to postpone the launch of the system, which was scheduled for January 1, 2024, despite the readiness of the configuration. This made it possible to continue testing integrations during the holiday period.

The system was launched iteratively: on January 10, 2024, the work of the most compact database was launched, and then the rest of the databases moved to work in the new system every two days. The final, database was commissioned on January 21, 2024, and Bristol passed the first regulated reporting from the new system on atypical forms on February 28, 2024.
