In the fall of 2018 before Monolit group there was a purpose to implement an information system which could solve the following problems effectively:

  • Provide centralized accounting and storage and also to accelerate process of approval of orders, orders, memos, the entering and outgoing correspondence, minutes of actions and contractual documentation.
  • Provide a possibility of setting, control and analysis of execution of instructions within an information system.

After the solution the management of Monolit group about implementation of an information system based on the 1C: Document Flow 8 CORP software product which functionality most fully answered assigned tasks as the contractor on rendering implementation services selected Portal-Yug Company LLC company franchisee. Implementation was executed in Businesss Aktsent LLC.

The implementation project "1C: Document Flow 8 CORP" was performed on project technology of Portal-Yug company, lasted 6 months (from March to August, 2019) and was complete in planned dates and within the planned budget.

The implementation project included the following stages and stages:

  • Stage Technical specifications (March, 2019) – formation and approvals of requirements to functioning of a system:
    • the Stage "Initiation and Work Planning on the Project" is the analysis of a situation "as is", determination of the purposes and tasks and also functional framework of an implementation project.
    • the Stage "Functional Requirements" is collecting, fixing and approval of requirements "as should be" by the accounting blocks which are subject to implementation within the project.
    • the Stage "Requirements to Pre-launch Works" is determination and approval of the list of the works necessary for input of a system in trial operation.

  • Stage "Pre-launch works" (May – July, 2019) – execution of works, systems, necessary for input, in trial operation:

    • the Stage "Setup of a System and Input of Initial Data" is execution of works on setup and input of initial data in a system according to the approved requirements.
    • the Stage "Preparation of the Training Materials" is execution of works on preparation of the training materials for users of a system according to the approved requirements.
    • the Stage "User training" – implementation of user training to work in a system according to approved requirements for the organization of learning process.
    • the Stage "Setup of IT Infrastructure" is execution of works on setup of IT infrastructure of the enterprise.

  • Stage "Trial operation" (July – August, 2019) – system implementation:

    • the Stage "Start" is input of functionality of a system in trial operation.
    • the Stage "Operational Consultation, Project Completion" is consulting user support on work in a system, achievement of goals and project tasks.

A system was brought into trial operation 7/29/2019.

Within an implementation project the following functions of electronic document management (ECM) were automated:

  • Office-work.
  • Accounting and document storage.
  • Accounting and control of execution of instructions.
  • Accounting of agreements.
  • Work with citizens' appeals.

300 people are automated that makes 300 jobs.
