2024: Implementation of a CRM system to automate procurement processes and event calendars at CSKA Football Club

The customer needed to digitize the purchasing process in the company and provide employees with access to complete information on the purchasing process, which will be systematized and displayed in the CRM system.

Event Calendar Automation

• Ensure that company employees are fully aware of upcoming events to avoid the possibility of missing events.
• Encourage timely implementation of tasks related to the preparation and implementation of events.
• Enable rapid and effective response to changes in event planning and content.

Process

The project was developed on the basis of Russian software on the 1C-Bitrix24 platform: Corporate portal. The number of users is 250. All work carried out within the framework of the project was written in PHP code.

The work was divided into the following stages:

Analytics stage. Within the framework of this stage, the company's tasks and processes were described, flow diagrams of these processes were compiled and ITAs were formed.

Development. As part of the development, the necessary tools were created for the implementation of the digital project, as well as the implementation of solutions according to ITA.

Testing. During testing, IT specialists checked the functionality, demonstrated the configured business processes on the Bitrix24 portal.

Supplement. After that, the processes were refined and additional optimization was performed.

Bottom line. At the end of the work, users were trained and provided instructions for working with the portal. RDN Group specialists have launched functionality on the work portal.

Smart Processes Configured

To digitize and automate the procurement process in Bitrix, 24 required the formation of three smart processes:

• 'Procurement ': This JV is required to digitize and automate the procurement process.
• 'Contract register ': this JV is required to maintain the contract register.
• 'Account Register ': This JV is required to maintain an account register.

To digitize and automate the negotiation process and add events to different types of calendars in Bitrix24, it was necessary to form two JVs:

• 'Contact Persons': This JV is required to add contact persons that will be associated with the added events to different calendar types.
• " Events": this JV is necessary for digitizing and automating the processes of coordination and adding events to different types of calendars (in this case, a connection is formed between the JV element and the event in the calendar), automating the assignment of tasks to employees for the preparation and conduct of measures and control over them.

Results

As a result of the work of RDN Group specialists, the company has achieved centralized management of the procurement process, simplification and acceleration of approval of applications, a single register of documents. The customer was able to significantly improve the efficiency of procurement activities, improve control over processes and minimize possible risks and errors.
