Cetelem Bank automated processes of legal division using Docsvision

2018

On April 23, 2018 Cetelem Bank announced continuation of increase in efficiency of bank processes. Thanks to development of the electronic document management system (EDMS) of Docsvision transactions of legal division of Bank are automated. The project was implemented by Digital Design company together with employees of the bank.

A system is intended for storage and accounting of legal documents of the company — claims and administrative cases. It is completely integrated into EDMS based on Docsvision which since 2014 serves as the central management system for document flow of Cetelem of Bank.

The project on development "Accounting systems and storages of claims and administrative cases" began with regeneration of the Docsvision platform to the version of Docsvision 5.4 which has several advantages, provides an opportunity to automate different internal business processes and increases work performance.

Result of the project was the solution based on the existing EDMS which allows lawyers of Bank to exercise control of acceptance and registration of statements of claim and administrative cases and also to monitor course of execution of instructions on them. Besides, users received the convenient tool — the module "Designer of Reports" for creation of reports on claims activities in the set format (html, pdf, xcel, word) and with the necessary formatting based on data of Docsvision and also the instrument of creation of reports Microsoft SQL Reporting Services.

"Positive work experience in Docsvision played not the last role when choosing the solution for automation of claim and claim activity. We selected from several ready-made products presented at the market by other suppliers thought of development of own program, but selected option of expansion of functionality of EDMS based on Docsvision with the help Digital Design as it was important to us to save uniform standards during the work with documents. April 10, 2015. The Digital Design company reported^[1] about project completion on system implementation of electronic document management in "Cetelem Bank" based on the Docsvision platform.

Within the project system deployment at the main office of bank in Moscow with a connectivity of remote bank branches was performed. At the moment in a system 50 users can work at the same time, but increase in number of at the same time connected employees is in the future planned. Solving of tasks of the general office-work — setup of registration of the entering, outgoing and all internal documents and also processes of their approval is provided. Process of stream scanning of documents using the unique solution developed by Digital Design company — Service of stream scanning of documents is implemented. Besides, transfer of the archive of documents which is saved up earlier in EDMS Docsvision was executed.

"The version of Docsvision 5.3 was selected for implementation of the tasks of the project thanks to advanced functionality, the increased reliability and performance of the new version. Experience with the Docsvision platform and experience of deployment of EDMS in the enterprises of banking sector, allowed us to execute this project in short terms" — the director of the department of corporate systems of Digital Design Anton Soldatov told.

2014

In the fall of 2014 in Cetelem Bank LLC the first stage of the project on implementation of EDMS based on the Docsvision 5.3 platform is completed by Digital Design/company

System implementation of electronic document management was required to bank to accelerate and facilitate work of head office with the entering and outgoing correspondence, internal regulating documents, minutes of meetings, information letters and we designate.

The first stage of the project began in July, 2014 and came to the end in September. During this time the Digital Design company which received according to the results of the request for proposals which is carried out by bank, the right to execution of works and providing licenses of Docsvision performed implementation of EDMS regarding automation of the stated processes of work with documents. System deployment is carried out at the main office of bank in Moscow.

Within the first stage of the project specialists of Digital Design performed tuning of tasks of Office – setup of the entering, outgoing and all internal documents, processes of their approval and also process of stream scanning of documents. The next stage of the project assumes transfer of the archive of documents which is saved up earlier in EDMS Docsvision.

"We used a product of own development "Service of stream scanning and recognition" which was implemented in one of large insurance companies for automation of work of departments of approval of losses of KASKO and the CMTPL earlier. In "Bank" it will provide to Cetelem scanning of a big flow of incoming correspondence — the corporate clients manager Galina Mayorova told. — The feature of this service is that its installation requires no additional software, it can work with any EDMS and with any equipment for scanning. Use of this service is profitable to any customer because there are no restrictions neither on scanning volume, nor on the number of users with service that does it profitable among market analogs".

Terms of its implementation became feature of this project: on average, implementations of such scale take 8 – 9 months. Within the first stage the task to unroll a system in a short time – 3 months was set for Digital Design, as it was executed.

Today we are going to start implementation of the next stage of the project — migration of already saved up documents of Office in EDMS based on the Docsvision 5 platform.
