City administration of Irkutsk (DocsVision (EDMS/ECM system))

At the time of start of the project in administration EDMS which did not conform to qualifying standards any more worked. A part of documents was processed on paper. Therefore the decision to select a new electronic document management system was made. As a result of the held competitive events the RKIT Group company with own solution "Administrative Office-work" on the Docsvision platform won.

The project started in 2012 in committee on economy of Administration of Irkutsk. When understood that the Administrative Office-work system works and simplifies work to 40 employees of committee, went to development and circulation. The Committee on budget policy and finance, administration staff, committee of housing and public utilities became the following pilot platforms.

Today in a system over 1000 documents, more than 35 thousand documents a month are daily processed. 1200 employees, including the top management work.

10 large management processes are automated: accounting and control of execution of incoming correspondence; accounting of outgoing correspondence from approval of the project before control of the answer of the addressee. In electronic form internal office correspondence, administrative documents of Administration are conducted.

Management of meetings before control of execution of the instructions issued during the meeting come from mailing of the agenda through EDMS too. And tools for support of work of the highest administrative structure of administration of Irkutsk are separately created.

In a system employees prepare, coordinate the documentation on municipal orders and contracts. It is separately necessary to mention management of judicial and administrative cases: in a system work planning, accounting of court documents, control of their execution is recorded claims, instructions.

In 2015 we put emphasis on citizens' appeals, the organizations and deputies. Archive fund is at the moment put into commercial operation.
