The city administration of Reutov purchased mobile jobs of EDMS

On August 5, 2015 the EOS Group company announced the project of upgrade of EDMS Matter in city administration of Reutov.

Project Tasks

Since 2007 in city administration of Reutov (Moscow region) for process automation of work with documents the electronic document management system Case is used.

In 2015 in municipality the next stage of development of a system was completed – the quantity of jobs is increased, and for the management of administration mobile applications of iEOS are bought. Delivery of the software and an implementation service and to information maintenance of a system was executed by specialists of SoftExpert LLC company.

In 2007 the management of city administration of Reutov made the decision on replacement of the workflow system used at that time by EDMS Case as the operating system did not support processes of document flow at the sufficient qualitative level and had no opportunities for further development.

Project Progress

In the course of implementation of EDMS specialists of SoftExpert company carried out works:

• data transfer from the existing DB,
• development of necessary analytical and statistic reports on
  • to control of execution of documents,
  • to the analysis of administrative documents and the arriving correspondence,
  • to the analysis of reports on work with citizens' appeals,

• to setup of the main and additional reference books of a system,
• to user training.

The workflow system Case integrated in a uniform circuit the main divisions of the organization – a reception of the head of administration, a reception of deputy heads, departments and managements of administration, heads of structural divisions. Jobs systems Case, the subsystems "DELO-Web" and a number of additional options are installed.

The Archiving system is implemented.

In 2015 the decision on expansion of a circle of the users having access to EDMS is made. Considering specifics of activity of heads, for convenience of their work in a system mobile clients are purchased. Scaling of the automated electronic document management system on a software platform Case in 2015 is executed by increase in number of licenses EDMS Case (20 additional jobs are purchased) and implementation of technologies of mobile work (6 jobs of iEOS – for the head of administration and his deputies are set).

Project Results

For August 4, 2015 in city administration of Reutov more than 80 jobs are automated. In work the additional options "Line Scanning", "Barcode Printing", "Notification and Notification", "Process management" are used. Work on document flow sections is automated:

• "Incoming correspondence",

• "Outgoing correspondence",

• "Internal correspondence",

• "Citizens' appeals",

• "Administrative documents".

By means of the iEOS application the possibility of remote work in a system from mobile devices is created that allowed the head of administration and his deputies to receive quickly the documents necessary for work.
