2023: Implementation of Optimacros-based budgeting and management reporting system

On October 25, 2023, the company KORUS Consulting"" announced the introduction Delko of a platform based on the Russian ERM in the budgeting and management reporting systems, Optimacros as well as its integration with the ERP "" base. 1C This solution fully automates budgeting processes and meets the needs of a growing business.

According to the company, the transport company Delko has been providing FTL transportation services on the Russian and international markets for more than 20 years. It is part of a large holding that deals with several areas: leasing, repair, supply of spare parts, fuel, training of professional personnel and much more.

Scaling up the business required a different approach to organizing financial processes. Previously, budgeting was carried out in MS Excel. The process was supported by a large team, and the number of files reached 1000 units. The data was collected in different central federal districts and areas, each of which has its own specifics in the field of planning, budgeting and reporting. To optimize this process, a full-fledged EPM system was required. Delko chose the Russian software product Optimacros as a tool, the implementation of which was carried out by the team of the KORUS Consulting ERM department.

The project was implemented in a short time: the development of the system took 6 months, taking into account testing and PED. During this time, they automated the financial model of budgeting, planning for the quarter and year, as well as strategic planning for 5 years. The company received its first results after 3 months, when the collection of actual reports in the system began. In total, more than 10 different directions were automated, each using individual reports, planning and forecasting models.

Taking into account the peculiarities of the Delko structure, a two-level consolidation model was proposed, which allows you to maintain a large number of intra-group revolutions and many adjustments with your algorithms. Each business can apply individual reporting methods, taking into account the specifics of the direction. At the same time, the company's management received a unified system of end-to-end reporting with detail throughout the holding, which allows analyzing data in sections before and after elimination, as well as separately intra-group turnover.

At the stage of Optimacros integration with 1S:UPP, the 1C team of KORUS Consulting joined the project. The integration includes about 100 threads. Optimacros receives detailed information on all types of accounting of the company from the "1S:UPP," the master data is updated automatically: loading cost centers, income and expense items, and the organization reference book.

In addition, the specialists implemented a unified approach to collecting and transferring data using an intermediate FTP folder. As a result, a universal and flexible mechanism has been created that supports various options for data sources, which allows Delko to independently edit and complement data streams.

Within the framework of the project, the specialists of the ERM department formed in the system management reporting based on loaded actual data, a planned budget for all business areas for a year and for five years, as well as an annual forecast of budget adjustments. They also developed a system for coordinating budgets for financial responsibility centers, which helped to increase the completeness and level of detail of the plan-fact reporting.

The system will make it possible to optimize the budgeting process, prepare management reports throughout the holding and in certain business areas, optimize the staff, directing resources to more important tasks. By automating the budgeting model, the business has become more manageable. The company was able to quickly analyze regulations and drivers, manage the final goals and performance of the company. The system has become a single source of transparent and reliable data, where you can look at information in all areas and assess their effectiveness, find growth points for each of them.

The project has become special for us both in terms of implementation and in terms of interaction between project teams. Based on the Russian Optimacros solution, we have automated complex processes in a diversified holding. At the same time, at the time of system adaptation, the business was in the phase of growth and implementation of changes. On the part of Delko, a strong and progressive team participated in the project, all issues were resolved promptly and with maximum inclusion, which made it possible to get a result in a short time.
