"Directum: Contract management" is used in E4 Group

The implementation project of the DIRECTUM ECM system in E4 Group began in 2010 with classical problems of acceleration of document flow. Specialists of the company integrator considered orientation of activity of E4 Group and need of ensuring the increased safety of work with information. The project was separated into two stages because of the large volume of expected works and for the purpose of simplification of adaptation of employees.

The Akelon company having experience in the field of consulting and implementation of business solutions on the DIRECTUM platform acted as the supplier of the solution and services.

Within the first stage the electronic archive of documents was created, processes of office-work and control of execution of instructions are automated, process of preparation of meetings is automated. Integration of DIRECTUM with the ERP system "1C: Enterprise" is carried out that allowed to organize a uniform entry point shared the systems of data. The leading users of a system completed training courses without separation from primary activity.

At the beginning of 2014 the second stage of the project during which work with contractual documents based on the module "Contract management" was automated started. Optimization of key business processes of work with agreements became a main objective of implementation that allowed to solve the following business challenges:

• Project development of the agreement, approval in all instances, a statement and signing of the EDS.
• Formation of the sheet of vising on the basis of electronic signatures.
• Reliable storage of all contractual documents according to access rights for obligation fulfillment under the agreement and archive storage further.
• Quick search of agreements in the set details and in the text of the document.
• The maintaining templates of contractual documents including development, approval, a statement and publications of templates and samples.
• Preparation of the reporting.

In a project deliverable employees of E4 Group received the convenient instrument of interaction allowing to find quickly necessary documents and as much as possible to reduce operating time with them. From the moment of input of DIRECTUM in commercial operation the number of the users involved in a system constantly grows and already totals more than 350 people.
