Federal State Unitary Enterprise GNIVC FTS branch in the Microsoft Lync

Situation

The branch has a wide geographically-distributed structure therefore for effective coordination of activity the staff of branches had to leave regularly in business trips to Moscow for carrying out and participation in meetings together with the staff of the Moscow departments. It became obvious that permanent business trips require considerable costs, and the management of branch needed to find a cost optimization method in this direction. In addition, the management set the task to organize process of remote partner interaction.

The solution alternative to expensive business trips and trips and tools for the organization of video/audio-/web conferences and meetings for optimization of finance and labor costs of branch was required.

Solution

Video conferencing system implementation became an optimal solution for the above described tasks.

Within the analysis of offers of an optimal system proposals of different producers and suppliers were considered. Key selection criteria were:

• ease of use for end users;
• image quality;
• quality and connection speed;
• ability to integrate with the existing telephone system;

As a result the solution Microsoft LYNC was recognized the best. Such choice was caused by the low cost of ownership, easy integration into the solutions and opportunities of reduction in cost of phone calls existing in branch. The lack of need of purchase of the specialized equipment was decisive factor.

Implementation of this project was it is carried out by forces of Federal State Unitary Enterprise GNIVC FTS branch through TI Systems company – the organization having wide experience of implementation of the systems of communications based on Microsoft.

Within the project on implementation of the pilot of Lync by the company TI Systems consultation when implementing the following functionality was rendered:

• setup of the server with the set Microsoft Lync Server 2010;
• setup of workstations with the unrolled client software for work with Microsoft Lync Server 2010;
• setup of function of instant messaging;
• setup of function audio-and video calls and a conference between users of Lync 2010;
• integration with a telephone system;

Results and advantages of implementation

The solution based on Microsoft Lync allowed to reduce costs for holding regular meetings with participation of employees from geographically distributed branches and representations and also to increase the level of communications between employees.

The Federal State Unitary Enterprise GNIVC FTS branch noted at once:

• Expense reduction on telephony for 20%.
• Economy on traveling expenses due to carrying out audio-video and web conferences.
• Increase in speed of communications, including due to exchange of fast messages between employees and partners. As a result: operational decision making on a number of organizational issues.
