2018: Updating of Docsvision to version 5.4

On January 29, 2018 the Digital Design company announced end of the next project for the company SUE Energy Industry of St. Petersburg during which specialists of the contractor updated EDMS based on Docsvision to the version of platform 5.4, executed archiving of data in a system and developed the module of automation of process of work with estimate documentation.

Main goal of the project – performance improvement of a system. From the moment of implementation of EDMS based on Docsvision the volume of documents increased, and hard work with big files complicated and slowed down work of users. As a result of transition to the version of the platform 5.4 users noted increase in speed of system operation. Also by separation of the database on operational and archive it was succeeded to simplify administration tasks: speed of accomplishment of the backup copy and system deployment from it was increased, storage costs of backup copies due to reduction of their size are reduced.

Large volume in a total quantity of documents of the company is occupied by estimate documentation which is an important component of the list of the documents proving expediency of project implementation and its cost efficiency. Accounting of estimate documentation – a task difficult. It is necessary to take a set of normative and legal and legal acts into account. The number of the documents attached to one project can reach several hundred. Accuracy in calculations and speed of process of approval is very important, especially at construction or repair of heat supply facilities. During the work with documents the risk of errors, losses of documents and delay in process of approval manually increases.

Before implementation of the module the main tool of employees SUE Energy Industry St. Petersburg for work with this document type was a set of standard applications MS Office and, in particular, Excel. It is the convenient tool for work with one table or the list, but when them becomes, for example, 300, process of the analysis significantly becomes complicated and slows down. Therefore simplification of verification process of the amount of the general estimate on compliance to the actual value of calculation and to documents in which cost value of separate works is calculated was the main objective of implementation of the module. Automatic calculations allow to solve this problem for several seconds while earlier several days could be required by specialists of estimate management on it.

Implementation of "automated workplace of the head"

On July 20, 2017 the Digital Design company announced an implementation project of "The automated workplace of the head" in SUE Fuel and Energy Complex of St. Petersburg.

"the automated workplace of the head" helps top managers of the enterprise to make quickly decisions, to create instructions and to control the course of their execution, being in a business trip, at a meeting or in way. Access to documents with servers Docsvision acts through the application on the tablet device from OS Android.

"The automated workplace of the head" is an easy and convenient way of interaction of the user with an electronic document management system on the Docsvision platform. It is easily built in infrastructure of the organization and quickly adapts under needs of each user. The product is delivered as the boxed solution, but can be finished taking into account individual requirements of the customer for bigger efficiency.

Transition to EDMS Docsvision

Fuel and Energy Complex of St. Petersburg at the beginning of July, 2017 announced end transition to an electronic document management system based on the Russian Docsvision platform. Earlier in the company the Documentum system functioned. The Digital Design company became the contractor of the project.

The first acquaintance of employees TEK SPb with EDMS took place in 2009. A choice was made for benefit of a system on the platform of the foreign producer. According to customer representatives, during this time requirements changed, loading increased, the speed and volumes of documentary interaction grew, a system ceased to meet user requirements.

EDMS based on Docsvision covered not only functions of office-work, but also automated a number of business processes: organization and management of meetings, control of execution of legal instructions, requests of employees for the technical help, supplies, etc. In the independent big block in a system function of approval of the tender documentation is selected. This function accelerates process of work on documentation for participation in public procurements and promotes decrease in quantity of errors.

According to information Digital Design, against the background of expansion of functionality of a system cost of ownership of domestic software and costs for its service became lower.

For "painless" transition to a system without decline in quality of work in EDMS "personal accounts" of employees — an individual working space were implemented. The personal account with the user interface provides quick access to necessary information in daily work, allows to browse and unload reports.

"In addition to updating and functional improvement of a system, we were faced by tasks to perform fast and high-quality integration of EDMS into a difficult corporate IT landscape SUE TEK SPb" — Igor Katkov, the project manager from outside told about process of work on the project Digital Design.

Before works it was required to execute transfer of all data which are saved up in 5 years of continuous operation of the previous EDMS — in total more than 1 million documents. The optimization of infrastructure and platforms of the enterprise performed by specialists Digital Design allowed to create the uniform data warehouse conforming to all security requirements, at the same time use of the scalable Docsvision platform will contribute to the further development of storage, believe in the companies. Also during the EDMS Docsvision project it was integrated with the corporate applied systems: "1C: Enterprise 8.2", Electronic archive and Active Directory directory.

Now new EDMS the staff of head department uses TEK SPb and four branches; daily in a system more than 800 users work, more than 1000 resolutions are processed.
