GOFRA-2001 (1C: Document Flow 8 CORP)

"1C: Accounting and Trade" (BIT) completed workflow automation of GOFRA-2001 production company. The 1C: Document Flow 8 CORP system allowed to reduce considerably risk of loss of documents, systematized accounting of the entering, outgoing and internal documentation. The possibility of automatic filling of new files reduced time for carrying out everyday transactions.

For prevention of errors and loss of important files and also in order to avoid failure of a company performance in general, the management of "GOFRA-2001" decided to pass to electronic document management. Such object was set for specialists of BIT company in whose portfolio big practice of implementation of EDMS.

Project tasks was: receive reliable information base for storage of files, reduce risk of loss of agreements, increase control over validity periods of documents and simplify work with the entering, outgoing and internal documentation. The sounded tasks are closed by the 1C: Document Flow 8 system which was selected from quality of the tool.

Specialists of BIT carried out works on implementation and setup of an electronic document management system. Training of staff of contractual department in work in an installed system was provided.

Automation results

Results of implementation of EDMS in GOFRA-2001 company became:

• Transition to the better level of work and increase in control over document flow. The annual volume of agreements in the company is about 300 documents. All of them have fixed terms of execution which a system allows to control, due to automatic counting of time.
• Quick and convenient access to necessary documentation. Thanks to electronic archive employees can obtain any data by the necessary document, for this purpose it is enough to user enter the name of the organization. Safety is ensured by the limited rights of access.
• Possibility of operational and faultless creation of different forms of the reporting under document flow due to automatic formation of registers of agreements in a quarter, in a month or on the end of action.

Results of work are commented by the head of contractual department of GOFRA-2001 company Svetlana Vasilyevna: "Before automation we kept account of agreements in a notebook where we wrote document numbers. It is not surprising that it occupied a large number of time and threatened with possible errors. Therefore automation was the best solution of all our difficulties. We are grateful to specialists of BIT for the done work and we already feel results of implementation of the software product. In addition to cost reduction on supplies and paper, time for search of the necessary document was reduced, control over documentation in general increased. We are happy with work of specialists of BIT company and the achieved results".
