"The Gazprom gas motor fuel" completed replacement of EDMS

On February 17, 2016 the company Directum announced replacement EDMS "Case" in the company "Gazprom gas motor fuel" on ECM- a system Directum.

Project Task

Replacement of software is caused by need to increase efficiency and transparency of internal business processes. For this purpose in April, 2015 the company management made the decision on implementation Directum. As affirms as the official press release of Directum EDMS EDMS "Case" ceased to conform to requirements ^[1]

Action "Gazprom gas motor fuel" (2015)

The main objectives for an implementation team:

• reduction of paper document flow and acceleration of electronic;
• exception of loss of documents;
• reduction of time for creation, approval and document retrieval;
• increase in performing discipline and interchangeability of employees.

Work progress

At the first stage of the project the emphasis was placed on use of the standard version of the Directum 5.1 system with the minimum modifications of the module Office in business processes of the customer. At implementation applied the innovation approach to a research and design:

• instead of a full-fledged research – demonstration of a system and the GAP analysis for identification of discrepancies between processes of the company and what is offered by a system;
• instead of project solutions – lists of modifications.

According to the results of the first stage of the project, it proceeded 12 weeks, processes of work with the entering and outgoing correspondence, administrative documents and memos are transferred to an electronic form.

At the second stage using the module "Contract management" the implementation team automated difficult process of approval of contractual documents at head office and branches of the organization. At the same time uchlya subtleties of approval of agreements taking into account holding competitive procedures and other difficulties of a contracted work of the enterprise.

Project Results

Today it is possible to state decrease in paper document flow, improvement of performing discipline of employees of Society, reduction of time of approval of documents. In use employees of Society note convenience of the interface EDMS Directum, accurate traceability of a way of approval and quick search of necessary documents, reduction of time expenditure thanks to standard routes of approval and creation of documents from templates. For February 16, 2016 in the Directum system more than 550 employees of the company work. In 9 branches of the organization located in different time zones from Kaliningrad to Tomsk, work in a system is organized by means of terminal access.
