2023: Using AI to manage regulatory documents
Gazprom Neft will use AI to manage regulatory documents. This was announced on June 15, 2023 by Embedika (Embedica).
The system reduced the time for making management decisions and reduced the cost of searching for information by 52%. Embedika, the developer of data science solutions for large businesses, was responsible for its creation.
The solution provides a full cycle of working with documents: structuring and analysis of large amounts of data, semantic analysis of texts, trained corporate search, automatic analysis of the relevance of a document and related queries, and more.
The task of the Central Information Center ("Digital Regulatory and Methodological Documents") is to reduce the time spent by specialists on the preparation of documents by 50% until 2024.
At the time of the start of work in 2019, about ten different services with different entry points and different EDM (electronic document management) systems were used to store documents, and employees spent up to 25% of their working time looking for the desired document. Thanks to the decision, Gazprom Neft will be able to maintain a single up-to-date database of documentation for 150 subsidiaries and bring information about changes to more than 80 thousand employees in time.
The solution was implemented in several stages:
- working data with Gazprom Neft databases and creating a corporate search on them;
- creation of opportunities for storage and search of documents, as well as creation of links between them;
- Development of opportunities for collaboration on new document development processes.
At all stages, modified import-independent Open source technologies were used. Solutions and services that were used in the process of working on the project - the development of Embedika and are included in the register of domestic software.
The implementation of the solution increased the speed of integration of new regulatory and methodological documents into processes, reducing the cost of searching for information and the time for making management decisions. And it also increased transparency and provided quick access to information for any employee of the company from anywhere. The average time to search for documents decreased from 10.5 to 1.2 minutes, and the cost of searching for documents decreased by 52% - from 4 to 2 hours per day from the employee's working time.
The created portal and optimization of work with documents allowed the entire group of companies to make the work much more efficient. Now employees will be able to quickly receive the information they need without wasting time on routine tasks.
