Gazprom transgaz Tomsk passed to Directum

The Intant company completed in the summer of 2012 system implementation of electronic document management and interaction management of DIRECTUM in Gazprom transgaz Tomsk LLC. A total quantity of the automated users – over 3 thousand.

Gazprom transgaz Tomsk LLC is affiliated enterprise of Gazprom company. Main gas pipelines Gazprom transgaz Tomsk are laid in the Tyumen, Novosibirsk, Kemerovo, Tomsk, Omsk, Irkutsk regions in Altai and Khabarovsk Krai, on Kamchatka and Sakhalin. Society operates 8 compressor and 1 pumping compressor station now; 129 gas distribution stations; more than 9000 km of gas pipelines, including 1600 km of oil pipelines. As a part of the company of 20 branches, the total number of personnel is nearly six thousand people.

For optimization of internal business processes in Gazprom transgaz Tomsk the decision on system implementation of electronic document management was made. The general director assistant – the chief of staff of the company and also group of office-work and representatives of the management information systems was engaged in the choice of a system. As a result it was decided to stop on the DIRECTUM ECM system, and implementation to charge Intant companies.

The functionality of Basic system modules and also business solutions "Classical office-work", "Management of meetings and meetings" and "Management of performance indicators" became a basis of an implementation project.

Within an implementation project processes were automated:

• registration and control of performance of orders and orders, resolutions on incoming letters, approval and mailing of outgoing correspondence,
• preparation, consideration and execution of reports and memos,
• managements of meetings under the chairmanship of the CEO of the company.

For fast identification of documents at the enterprise the DIRECTUM Rapid Document Identification technology facilitating search of the electronic document in its paper copy is used. Thanks to services of input and information transform (DIRECTUM Capture and Transformation Services), document handling, received from external sources (scanners, faxes, mail servers, etc.) is performed.

For the period transfer of EDMS to commercial operation more than 100 employees of administration and branches of the company were trained in work with DIRECTUM. In a system more than 10 thousand archive documents are brought, transfer of not used documents in file storage is configured. Also synchronization of an electronic document management system with the center of integration Gazprom transgaz Tomsk was implemented that allows to update automatically data on users, employees and divisions. Work in the system of territorially isolated branches of the company is organized using web access, thus, the total quantity of the automated users exceeds 3 thousand employees. Now the Intant company continues maintenance and development of EDMS.
