Gazprom Neft implemented an expense accounting system on communication services

The AMT Group company announced project completion on system implementation of accounting of corporate expenses on communication services in Gazprom Neft company.

A system is created based on the solution ACTS (Administrator of Corporate Telephone System), own development of AMT Group. ACTS allows to manage a subscriber base, to control and to automatically limit expenses of corporate subscribers on telephone communication and also to reduce costs for administration of a system of telephony. Systems capabilities allow to count and sum up on accounts of employees and divisions of the company the expenses of different type arriving from different sources — both internal, and external, says AMT Group.

The database of personnel records of the enterprise (SAP) is information source for system operation of the expense accounting. From it data come to Active Directory MS with which synchronization of the ACTS system is organized. Thus, a system automatically obtains information on staff changes of the company and timely adjusts reporting data. In functionality of a system the possibility of a binding to employees of additional phone numbers, codes of authorization and codes of clients is put.

Integration of ACTS into the Cisco Unified Communications Manager system of version 7.1 implemented in Gazprom Neft is made for obtaining data on consumption of communication services. ACTS keeps daily account of all calls and calculates their cost. For each employee and division of the company limits on consumption of communication services are defined. When exceeding a limit there is a notification of interested persons by e-mail.

On the basis of the data processed by a system reports on the consumed services and their cost form. Detailing of data on a certain employee, division, a rate, the operator is made. Detailing is possible on the set interval and also aggregated on months, days or all available data. Search is also provided in base of reports on the set criteria.

ACTS allows not only to control expenses, but also to prevent their undesirable growth. For example, it is possible due to disconnection of phone from the paid directions in the absence of the employee (a holiday, a business trip) or at critical exceeding of a limit on the volume of the consumed communication services.
