Within production reform the Granit enterprise automates document flow

The company "Electronic DELO" completed the project on implementation electronic document management systems in republican unitary manufacturing Granit enterprise (RUPP Granit) implementing solution of a system of a class EDMS/ECM – "Electronic DELO" the company integrator reported on April 3, 2013.

Reforming as result of appointment

Workflow automation became one of reforms in administrative personnel, after appointment of the new CEO - Eduard Gavrilkovich. As the platform one of the systems of the class EDMS/ECM – Electronic CASE is selected.

Consolidation of all divisions (including deleted) in a corporate system of electronic document management with uniform technology of work with documents and instructions became the purpose of implementation. At the first stage the management set the following tasks:

• automate registration of organizational and administrative documents in office;
• provide operational delivery of documents and instructions in electronic form in structural divisions (including deleted);
• increase quality of control of execution of instructions;
• create operational archive of documents with flexible and ample opportunities of search;
• exclude loss of documents due to storage them in electronic form in a client-server system;
• provide access for users to a system according to job responsibilities and the restrictions set in regulating documents.

Tasks

The feature of the project - worked at the enterprise the ERP system which did not allow to implement all tasks of automation of managerial document flow. The reference book by partners in the ERP system contained more than 16 thousand records, and for continuation of use of this information in an electronic document management system of record were exported to the reference book of EDMS "Electronic DELO". As a result clerks received the working system needlessly independently to fill up base of partners at document registration.

Implementation

Automation of "classical office-work" became the first stage of the project. Creation of full-fledged EDMS in any organization is possible only at the maximum involvement of a managerial personnel (heads, specialists) in work in a system is a priority of RUPP Granit on the near-term outlook.
