Content

2017: "LAN SERVIS" completed the large-scale project of TM "Caravan"

Within the project workflow automation and also personnel training of Gruppa Riteyla Ukrainy LLC was carried out

In Gruppa Riteyla Ukrainy LLC implementation of 3 modules for optimization of electronic document management in the company is complete. Modules were implemented in DOCS.UA – the Ukrainian ESM-corporate content management system. They will allow the Customer to control flows of documents, different tasks and workflows. These are modules: "Acceptance of the employee for work", "Change of an organization structure" and "Organizational and Administrative Documentation (OAD)". The module "Organizational and Administrative Documentation" is intended for work with 5 document types: "Orders", Orders, "Minutes of meetings", Procedures and Memos.

Within the project it was implemented:

  • Ensuring work with sample documents.
  • Organization of process of approval and document approval.
  • Control of executive discipline.
  • Acceleration of processes of work with documents between the central department and remote divisions.
  • Minimization of loss of documents and human error

2016: Start of Project

On February 29, 2016 the LAN SERVIS company announced the beginning of the project of workflow automation and personnel training of management company Gruppa Riteyla Ukrainy LLC and hypermarket of the company - Caravan.

Modules:

  • Module HR ("Acceptance/transfer/dismissal of employees", "Change of an organization structure of the company")
  • "Organizational and administrative documents HORDES"

Project Tasks

Within the project it is necessary to install a corporate content management system (Enterprise Content Management) of national scale DOCS.UA.

Karavan hypermarket (2014)

The full project assumes:

  • acquisition of software,
  • implementation of business solutions with consulting
  • business process optimization.
  • training of employees of the Customer
  • outsourcing of specialists for support and development of a system. ​

In accordance with the terms agreements, the contractor will carry out automation to Gruppa Riteyla Ukrainy LLC:

  • the module "Personnel Office-work" (including acceptance/dismissal for work, holidays, business trips, etc.);
  • module "Memos" (including any SZ, standard SZ);
  • module "Contract management" (including commercial purchases);
  • module "Management of Contractual Documents and Specifications".

It is the large-scale and interesting project. Each module will require development of a large number of types of electronic documents with special conditions, a route of approval and integration "in real time" with other accounting systems. Also there will take place personnel training of the customer in "The center of the certified training of LANS".

Project Progress

On August 2, 2016 the Lan Servis company announced start in Gruppa riteyla Ukrainy LLC of the modules "Change of an Organization Structure" and "Acceptance of the Employee for Work".

These are the first modules of the HR block. Each of them required creation of the automated management of structure of the company and development of a large number of types of electronic documents with special conditions, a route of approval and integration "in real time" with others accounting systems. At the same time it was required to observe compliance to the regulatory base of Ukraine.

Flashmob Karavan hypermarket, (2012)

The module "Change of an Organization Structure" is intended for work with the commercial staff list. "Lang service" developed the mechanism of a linking of the commercial staff list with legal - the possibility of discrepancies is excluded. By means of this functionality change management of the staff list initiated by the management became possible.

The module "Acceptance of the Employee for Work" automates work with again arriving staff of all divisions of the organization in Ukraine. In addition, it is possible to accept employees by all types of the employment contract with automatic formation of the document package which is not requiring changes.

Exchange of documents of remote division with TsU takes ~ 3 minutes now.

By means of synchronization of systems Docs.UA and 1C data are updated in both systems at the differentiated access levels to systems.

The module gives an opportunity of storage of personal records of employees with real-time access to authorized persons. Maintaining magazine of orders (including group) and magazine of registration of non-disclosure obligations of personal data.

During the tender we carefully selected an ESM-system and of course the integrator. It had to have not less than five positive reviews about the started projects in Ukraine for the last year. Existence of own center of technical and operational support, the center of the certified training, etc. Besides, to us was also important it was important to get acquainted with an implementation team personally. All these criteria were answered by Lang Service company.

Gruppa riteyla Ukrainy LLC is dynamic geographically distributed group for which crucially it is necessary to control flows of documents/tasks/processes. Therefore Docs.UA – a corporate content management system (Enterprise Content Management) of national scale was set to the client. She allows to construct the effective electronic document management system (EDMS) of any enterprise. We do not stop on the first modules. In the coming months we start two more new in Gruppa riteyla Ukrainy LLC: "Management of the organizational and administrative documents (OAD)" and Management of holidays.
