The general contractor of ChTPZ implemented a document management system and tasks "THESIS"

Situation

Existence of high requirements to management of information and documentary processes on each construction project served as premises to system implementation of electronic document management. "On each construction object we start a number of business processes. Each process consists of a large number of the tasks and subtasks accompanied with tough terms and the volume number of documentation. On end of each stage employees report based on the executed activity in writing. But such method does not allow to estimate really and objectively an events picture, takes a lot of time, and not only contractors, but also heads. As a result, the received result is achieved by great efforts", - the CEO of KM-Ekspert LLC Kirill Tsybin reports.

Solution

At the end of 2010 the management of KM-Ekspert LLC made the decision on automation of process works on passing of the design estimates. To future system such demands as were made:

• an opportunity to automate all basic process of the organization in a system,
• existence of automatic control of terms of accomplishment of instructions,
• tough regulation of actions and possibility of "maintaining employees on process" at each stage of the project,
• possibility of flexible development of a system and ease of integration,
• available cost of the solution.

As service provider of consulting, development and deployment of an information system, the management of KM-Ekspert LLC selected the HAULMONT company (Haulmont) which successfully proved in Russia and beyond its limits. As the platform for creation of basic process of passing of the design estimates the THESIS system which is most meeting all requirements of the customer was selected.

At the beginning of 2011 in KM-Ekspert LLC process of implementation of the automated system "THESIS" finished taking into account specific requirements of the organization came to the end. The solution, began to work only 2 months later from the moment of adoption by the customer of the decision on automation.

Result

The system providing automation of process of passing of the design estimates allows to control terms and implementation phases of tasks at all its stages and substages. In addition, the modifed functionality of a system allows to define problem sections of all process with ease, signaling the management about need of acceptance of management decisions.

In two months of active work of 70 users in the THESIS system, management "KM-Ekspert" managed to estimate the first results.

"Processes of passing of the design estimates are dragged usually rather out on time. And here now many processes started already through the THESIS system (and all them about 300 are started), came to the end. The result very much pleases me. Since now I can receive a real picture of affairs on any process step in a few minutes, in time connect an administrative resource, thus, having avoided excess risks and costs. In addition, use of a document management system and tasks "THESIS" allowed to reduce closing dates of agreements by 2-3 times and also provided 100% control of execution of all tasks, including the most insignificant to which it was not drawn of due attention earlier.

Development of the solution

The solution continues to be developed in process of emergence of new tasks of the management of KM-Ekspert LLC. Automation of works on tendering process based on the THESIS system and also integration with the system of accounting is in the future supposed.
