At the PJSC HMZ enterprise classical paper document flow was conducted. Document handling, consecutive and parallel stages, took long time. For example, approval, a statement and registration of agreements it could drag on or be postponed for a number of reasons:

  • Absence of the approving or claiming persons in workplaces.
  • Long processing of notes in the text of the agreement.
  • Absence at employees of information on an agreement status, its location at the enterprise.
  • Remoteness of employees from each other. Big enterprise and remote division.

Taking into account the existing inconveniences of conducting paper document flow the decision to automate document flow was made. The enterprise addressed to Spetsialist LLC company according to recommendations.

Staff of Spetsialist LLC conducted project examination during which they studied all proceeding processes in the company (concerning internal document flow). Conducted survey in which 34 employees from 23 departments were involved. To automation were subject: 24 divisions and 65 employees of the enterprise. 61 schemes of the processes requiring automation were made. Inspection took 125 hours.

Implementation of the program took 3 months. In the course of implementation specialists of Spetsialist LLC configured templates under all processes of document flow requiring automation made instructions for work in the program, trained all personnel working in the program (including the regular system administrator). Within a month after start specialists helped us to resolve quickly all issues arising at us.

That we received on completion of the main works:

  • The centralized document storage and files in electronic form.
  • Use of the standardized document templates and templates of processes.
  • Reporting on a status of documents and on a status of processes.
  • Differentiation of access rights of users to documents and files.
  • Reduction of time for preparation and simplification of document handling in the organization.
  • Protection of documents against loss and against unauthorized access to them.
  • Increase in performing discipline of employees due to control of execution of instructions.
  • Economy of resources on printing of documents.

Important plus of workflow automation was optimization of internal processes of HMZ.
