2020: Consolidation of 200 divisions of the MFC of the Irkutsk Region center of uniform EDMS

On August 31, 2020 in DocsVision company announced that 200 divisions of the Center GAU "MFC of the Irkutsk Region" work in a single system of electronic document management now.

The center GAU "MFC of the Irkutsk Region" before start of the project worked with paper documents "in the manual mode", there were no regulating documents on document flow. Due to the active development of a branch network of the Center development and deployment of EDMS was necessary to make these processes transparent, convenient and easily controlled.

According to the results of assessment of proposals of suppliers of EDMS the decision to select the company RKIT Irkutsk () – the key partner -integrator Docsvision from the region was made. Specialists of RKIT company integrator developed the corresponding regulations, procedures of management of documents became transparent, and for the management of organization control of processes was provided.

By 2019 the number of the connected divisions of MFC grew from 16 to 200, in EDMS directors and their deputies, the staff of directorate and chiefs of departments of service of applicants worked.

According to the results of the carried-out work processing of the entering and outgoing letters, work with internal documents (orders, orders, memos), approval of draft documents and support of library of standard documents is completely automated. Work with personal instructions is conducted: it is convenient to both employees, and heads to control execution of tasks in a system.

GAU "MFC of the Irkutsk Region" gives to citizens the chance to physical persons and legal entities to receive the public and municipal services by the principle of "one window". Processes of organization are formalized, and providing each service precedes multistage approval of documents. For August, 2020 GAU MFC IO already includes 200 divisions across the Irkutsk region, including in the region of the Far North with communication by satellite communication.

The main convenience, on a response of the customer – in increase in efficiency of work with documents, simplicity of observance of regulations, emergence of electronic archive. A system is customized taking into account all regulations and an organization structure of MFC. Parallel approval of documents is in addition implemented.

As of the end of August, 2020 in Docsvision more than 4000 entering / outgoing letters, over 10000 office letters and agreements annually are registered.

2014: Start of implementation of EDMS

In 2014 in connection with active development of a branch network development and deployment of EDMS began.

Its scalability for further connection of new geographically distributed divisions was the important requirement to the automation system.
