2020: Work an e-document flow turn from 70% of partners

Several years the Mamsy.ru online store (Mamsi) does not use in exchange with overwhelming number of partners paper documents on delivery. Interaction passes in electronic form through Synerdocs and roaming. For several years of work in e-document flow the company reduced time for acceptance of loads and document handling, solved a problem of expensive archive storage and excluded losses of originals. On September 17, 2020 the Directum company reported about it.

At the end of 2018 the online store passed to electronic document management. This step was the imminent solution long ago and saved the company from infinite paperwork. Daily the staff of Mamsy signs contracts and works with a huge number of documents on delivery of goods. On each transaction made out the whole packet of paper documents earlier, then printed and signed. One copy was transferred at the same time to the supplier, the second was sent to archive. Every year for storage of paper documents the increasing area was required.

Tatyana Tumanova, the head of Mamsy.ru sales department, told about advantages of transition to electronic document management with partners:

We have more than 800 suppliers who will see off every month on 1,500+ of deliveries to our warehouse. Implementation of e-document flow helped to reduce significantly time for receipt of goods and document handling, to release resources of employees for the solution of other tasks.

Ilya Odarchenko, the director of the department of warehouse logistics, shared project deliverables on transition of Mamsy.ru to electronic document management:

1. Speed of preprocessing of delivery grew twice. Now the storekeeper at acceptance does not verify information in documents with a system: everything is already checked in advance. 2. Need for movement and storage of paper carriers disappeared. We ceased to spend a lot of time for sending and obtaining documents to partners, plus began to save money on the maintenance of archive. 3. Probability of loss of originals was excluded. 4. Influence of a human factor at verification of documents is minimized. Instead of line-by-line reconciliation as earlier, after transition to e-document flow it becomes automatically in Synerdocs service. 5. Potential of process automation of acceptance and shipment of goods is increased. There was a possibility of implementation of electronic queues and self-service terminals for transfer of goods by suppliers instead of a staff increase of storekeepers.

For September, 2020 more than 70% of partners work with Mamsy.ru online store in e-document flow. Some of them send and accept documents through Synerdocs service, with the others roaming is configured. In electronic form there takes place primary acceptance, a design of discrepancies, returns and adjustments. Besides, now it is possible to sign agreements and to exchange all necessary documents for cooperation start.

Until the end of 2020 in Mamsy.ru are going to transfer to e-document flow of all suppliers.
