Content

20 new modules are developed for increase in convenience of using of an electronic document management system of Management of Federal registration service across the Republic of Tatarstan and several years a system is operated in an operating mode.

Till 2009 EDMS BOSS-Referent used about 400 users. Today in EDMS managements more than 1000 users, including employees and in structural divisions work.

In operation

Basic processes of work with documents are automated:

  • Registration of the entering and outgoing correspondence, including citizens' appeals;
  • Issue and control of execution of instructions;
  • Accounting of internal organizational and administrative documents;
  • Approval of documentation.

Details of the project

Audio and hand-written resolutions directly on the document, an opportunity to leave document marginal notes, only information necessary at present, support of the EDS — all this allows the top officials to focus on the main thing, without being distracted by routine work with documents.

Also, using EDMS, on modern level interaction with Federal Bailiff Service regarding obtaining information on presence of property at the debtor is delivered.

Via interactive terminals citizens have an opportunity to leave video complaints, wishes, thanks. These videos get directly on the PC to the head who via the module "Mobile Office" issues instructions to executives in charge to deal with this complaint. Integration into infomats (the information terminals located in different parts of the city) through which citizens create the statement for providing data of the Unified State Register of Rights in electronic form is also implemented. If necessary EDMS sends this request to district departments of Management of Federal registration service of the Republic of Tatarstan, then accumulates the acquired information and sends to department of issue.

Use of the modules "Providing Information on the Registered Rights in Tax Administration", "SMS informing applicants on readiness of documents", "Planning and Control of Actions", "Collecting of the Departmental Reporting" and others and also the fact that exchange of documents happens to use of means of the electronic digital signature allows to move to paperless document flow.

The employee of department of information technologies of Management of Federal registration service of the Republic of Tatarstan noted demonstrative as based on one Lotus Domino platform it is necessary to build the multifunction system integrated by uniform standards of exchange of documents and mechanisms of the electronic digital signature. At the expense of it, platform value in general, return from invested funds as a result increases, labor costs on development and support of a system are optimized.
