2018: Results of use of EDMS Case

On July 10, 2018 the EOS Group company announced use results in Budget institution of health care of Altai Republic "Mayminsky district hospital" of an electronic document management system "CASE".

Use in Mayminsky RB since 2016 allowed to transfer to EDMS business processes of document flow to higher level. The CASE system simplified and accelerated document retrieval, formation of analytics for the management and the periodic reporting under document flow. It became much simpler to monitor execution of documents/instructions and to control terms. The staff of Mayminsky RB notes that costs of time for control were reduced, its quality at the same time increased.

Mayminsky RB is going to develop a system further. The possibility of the organization of exchange of electronic documents between divisions, automation of registration and processing of new document groups is in the long term considered.

2016: Workflow automation

In October, 2016 the KS-Consulting company announced end of system implementation of electronic document management "MATTER" in Budgetary institution of health care of Altai Republic "Mayminsky district hospital".

Project Objectives

System implementation "CASE" pursued several aims:

  • creation of electronic archive (due to attachment of electronic images of documents to registration cards in EDMS);
  • possibility of quick search of documents;
  • implementation of a convenient control system of performing discipline;
  • report generation automation.

Project Results

All effective objectives were achieved. Within the project basic processes of document handling, in particular, registration proceeding, entering, orders of the Chief physician, citizens' appeals are automated. In addition to the CASE system the option "Scanning" was purchased. This option allows to scan documents during creation of registration cards and to automatically attach their images to RK.

Integration of EDMS "DELO" with an e-mail client (in organization Outlook is used) allows to register automatically the letters arriving by e-mail. It saves time as this type of entering makes a considerable part of a document flow. Also the function of external sending which is built in EDMS "DELO" which allows to create printed forms of mail registers automatically is used.

All instructions of the Chief physician written on documents are brought in EDMS now. It became much simpler to monitor execution and control terms. Costs of time for control were reduced, its quality at the same time increased.

Work with citizens' appeals in Mayminsky RB has the features as a significant amount of addresses – oral. But all of them are fixed in EDMS. For simplification of preparation of analytical information additional details are added to RK of citizens' appeals. With their help addresses are sorted on personal oral and personal written.
