RBC Group companies (Ukraine) and Medicus Centre (Republic of Kazakhstan) announced successful project finish of creation of a corporate analytical system on the basis of the BI solution of QlikView. The new solution using a big array of internal data of Medicus Centre allows to solve the managerial problems facing the company at qualitatively new level. In the shortest possible time after completion of implementation managers of the company already managed to make significant progress in more effective management of business processes.
The Medicus Centre company existing since 1994 for many years takes the leading positions in the market, being the distributor of pharmaceutical medicines, products of medical appointment and parapharmaceutical products conducting in Kazakhstan. The customer base of the company covers all segments of the pharmaceutical market: single drugstores, pharmacy chains, treatment and prevention facilities, wholesale companies. Manage activity of such scale without effective instruments of work with data impracticablly.
At the beginning of 2011 the task of creation of a corporate analytical system which could integrate working data of all divisions of the company was set for consultants of RBC Group company (and it is 12 branches and 7 regional trade missions covering all territory of Kazakhstan and more than 700 employees). The powerful flow of internal data daily forms due to order processing from more than 2,000 clients (more than 10,000 drugstores and treatment and prevention facilities) and interaction with more than 300 suppliers and 800 producers of medicines from around the world. Heads of Medicus Centre expected to increase due to more effective processing of such data effectiveness of key business processes, first of all in the field of purchases, stocks and sales.
For creation of such analytical RBC Group system used the innovation BI solution of QlikView which successfully proved at a set of the companies from distribution sphere, including a pharmdistribution. The implementation project consisted of a pilot part, development and setup of analytical applications, training of developers and users and, actually, start in operation. Project duration was seven weeks.
The analytical application developed for Medicus Centre contains data on five business processes:
- contractual commitments with clients, compliance of sales plans to agreements
- analysis of accomplishment of sales plans
- analysis of sales
- stock analysis
- analysis of purchases.
The functionality was in addition implemented:
- any comparison of these sales
- modeling on sales of situations "what would be if"
- the combined ABC-XYZ of the analysis of sales
- dynamic ABC analysis of sales on months by branches and their clients.
QlikView imports data from the consolidated accounting system 1C: Enterprise 8.1, at the same time information on about 20 thousand names of medicines is processed. 40 employees of the company (top managers, chiefs of departments, heads of branches, analysts, purchasing managers, sales managers) began to work with QlikView.
The first results were received from a new analytical system during implementation of the analytical application and practically right after start. The deep and fast analysis of sales allowed to begin step-by-step process optimization of assortment management of goods and work with clients of the company. Stock analysis in warehouses gave the chance to elaborate criteria for effective management of stocks and necessary standards. Therefore in Medicus Centre accurate standards of stocks for branches and suppliers were soon set. According to the developed standards, daily average sales for the last 90 days and to planned purchase orders in 1C the forecast of inventory condition for the planned purchase orders on specific daily automatically is calculated:
- to branches
- to suppliers
- to goods
- to dates
The calculated forecasts are available to the detailed analysis and development of solutions on purchase to specialists. Integrated indicators on security with stocks of the company (the purchaser, the supplier, goods) in current month are in addition displayed.
Forecast inventory conditions on the company and its branches are analyzed and optimized. Measures for minimization of "frozen capital" in remaining balance and liquidation of deficit of goods on specific branches during the specific periods are taken. Dynamic ABC analysis of clients on months allowed to reveal seasonal trends in work of clients of the company and to start development of actions for deduction and optimization of customer service of A and B classes in the company.
Alexander Bakharev, the chief executive of Medicus Centre company, shared the thoughts of the project: "In general, need for a fast, flexible, intuitive analytical system ripened already for a long time, but because of a large number of the current tasks it did not manage closely to these to be engaged in any way. The solution QlikView as a result was for us suitable option: we spent not enough time for study of technical specifications as RBC Group had already practices and templates which we used. Duration of all technical part of the project was calculated in the days. End users accepted a system easily and with enthusiasm therefore work on preparation of reports for them considerably became simpler. I am very happy that we managed to solve completely a problem in a short time, and now we can focus on more global tasks, including on creation of new analytical applications under our business processes".
