Digital Design strengthened the presence at Minpromtorg

The Digital Design company implemented at the beginning of 2016 the project on the organization of the automated long-term archive document storage of the Ministry of Industry and Trade of the Russian Federation based on Docsvision.

The Ministry of Industry and Trade of the Russian Federation since 2007 uses EDMS Docsvision which supports processes of receiving, registration, preparation, approval and mailing of any kinds of documents and also control of execution of instructions. Work in EDMS is not limited to a framework of office: a system is available on mobile devices and has the integrated module "Mobile Workplace of the Head" (MWH).

In August, 2015 the Ministry announced competition on participation in an implementation project of automated information system of long-term archive document storage. One of the leading Russian IT companies – Digital Design, – having experience of implementations in executive authorities and state structures became the winner of competition.

The offer on development and project implementation provided by the company completely conformed to requirements of the customer. The solution supports the following processes:

• transfer of the electronic documents which are stored in the EDMS operational database in archive of the Ministry;
• archive document handling of permanent and long-term storage;
• formation of documents of archive accounting according to electronic documents;
• preparation for transfer of electronic documents for the state storage;
• destruction of documents of the operational database and archive documents.

The system of archive document storage was implemented based on the solution "Administrative Office-work" for the Docsvision 4.5 platform developed by Digital Design company.

More than 700 employees of Minpromtorg of Russia use EDMS. The system of archive document storage implemented by specialists Digital Design allows to have continuous access to information stored in archive and optimizes work of EDMS.

Within the project several stages of works which included development of requirements and the software for implementation of long-term archive in structure of the Ministry were performed. The work on integration of a system of long-term archive with EDMS is completed, all state recommendations about storage of electronic documents are implemented.

Software installation on computers of staff of the Ministry became the last step of a stage of implementation. All project work of long-term archive was completed at the end of 2015.

The following sections are at the moment automated: - registration of the entering, outgoing and internal documents, as to the address of the Ministry, and structural divisions – Departments; - imposing of resolutions and finishing instructions under resolutions to the level of Department; - setting on control. The Concept of electronic document management between the Ministry and the subordinated agencies is developed. The concept will form the basis for development of detailed Technical specifications on development of the system of interdepartmental document flow and the system of maintaining uniform dictionaries. Implementation of the concept will begin with installation of the protected remote access to an electronic document management system of the Ministry in workplaces of staff of the subordinated agencies. The feature – is replicated the solution for MEDT. Version: 3.5 Number of users: 350 people.
