The 1C: Accounting and Trade company (BIT) completed the project of automation of personnel records at the Moscow architectural institute (The state academy) – MARHI.
Implementation reasons
Earlier personnel records in university were kept manually that was labor-consuming. It was necessary to register all charges, considering financing sources (budgetary funds and income from a business activity of academy), academic degrees and ranks that according to these data it was possible to plan wage fund quickly. Besides, process of formation of the staff list took a lot of time that led to incorrect ideas of quantity and the contingent of personnel structure (an academic degree, a position, qualification groups). The program which will allow to reduce labor costs by conducting personnel records on a new wage system was required for the management. The decision on implementation of "1C: Payroll and HR Management 8" as the product is suitable for automation of personnel records of university and planning of the staff list was made.
Implementation
Project implementation was charged to 1C: Accounting and Trade company (BIT).
The following tasks are automated:
- Personnel records;
- Planning of wage fund;
- Planning of the staff list.
The project is executed within half a year. In a system the staff of planned and personnel departments works.
Results
As a result of product introduction of "1C: Payroll and HR Management 8" employees hand over the reporting under personnel structure and wage fund in the Ministry of Education and Science of the Russian Federation in time, quickly create the staff list taking into account a financing source (budgetary funds and an entrepreneurial income). The term of planning of wages fund of workers according to the law on a new wage system was cut by half.
Now:
- Workers can timely control an expense of funds for compensation thanks to implementation of a management subsystem settlings with personnel. Before automation these transactions were executed manually that was labor-consuming and quite often led to errors.
- Time of formation of the staff list and personnel reports (the number of employees with academic degrees, vocational groups) for the Ministry of Education and the management due to implementation of a subsystem of registration of personnel and the analysis of personnel structure was several times reduced. This mechanism allowed employees of personnel department to provide the reporting on personnel structure in time.
- There was an opportunity to automatically make the plan of necessary number of employees for university at the expense of a requirements planning subsystem in personnel.
- In university there are two financing sources: budgetary funds and an entrepreneurial income of university which need to be considered at employment of the new employee. Each worker can get paid only from the budget, only from means from a business activity or partially from each fund. Earlier collecting of this information was made manually and took several days, now – read minutes.
- The term of planning of wage fund of employees on a new system and a financing source using the module of reflection of the accrued payroll was twice reduced. It was conducted in spreadsheets earlier and took several days, now there are enough only several hours on planning of wages fund taking into account vocational group and qualification levels.
