Professional non-profit association of notaries "Notary Chamber of St. Petersburg" uses electronic document management "ETLA" version 7.0. This was announced on June 16, 2023 by Etlas-Soft.

The "Notary Chamber of St. Petersburg" has been operating since 1993. It brings together notaries engaged in private practice. The Chamber includes more than 330 specialists. 

Interaction with notaries who are part of the organization is carried out through the exchange of letters. Having received the appeal, the representative of the Chamber is obliged to process the documentation, conduct its approval and give a reasoned response or appoint a responsible contractor. The manual execution of the procedure takes time and distracts the employees who support the activities of the Chamber from the main functions of the merger. As a result, the efficiency of the organization is reduced.

To speed up the process and automate the registration and processing of all incoming letters, the transition to the electronic document flow "ETLA" was carried out. When choosing a solution, representatives of the Notary Chamber took into account the functionality of the system and the ease of its deployment. The main requirements were:

  • Fast processing of incoming documents
  • simplification of the approval process;
  • possibility of appointing a responsible contractor;
  • Create an outgoing document, if necessary, and approve it.
  • Import and export documentation, scan capability
  • registration and storage of documentation in electronic form;
  • Maintain records of an existing archive of paper documents.

The ETLA system meets the stated requirements. There is also additional functionality that simplifies work with electronic documentation. Demo mode created. It allows you to understand whether the system is suitable for a specific organization. The demo mode is valid for 30 days and is no different from the standard one in terms of functionality and the list of available features.

Standard system implementation was performed. Switching to electronic document management "ETLA," the leadership of the Notary Chamber of St. Petersburg noted an intuitive interface, a quick deployment procedure and low system requirements. This allowed the institution to deploy and configure the system on its own. Technical specialists of "ETLA" carried out the configuration and implementation of the system and also accompanied the client, advised him on the nuances of the transition to electronic document management.

The transition to the system allowed the Notary Chamber of St. Petersburg to automate the work with incoming documentation, simplifying the process of registering incoming letters and subsequent processing. As a result, it was possible to reduce the burden on the specialists of the institution, reduce the cost of time. The process of preparing a response to a letter has also been simplified. The system made it possible to automate the formation of an outgoing document, to increase the ease of its approval and sending to the recipient.

The management of the Notary Chamber of St. Petersburg plans to continue the active use of ETLA document management. Despite the recent transition, it has already been possible to identify the features of the system, to note an increase in the speed of document flow and work with incoming and outgoing letters.
