2025: Introductory briefings and electronic courses at sensor terminals. Case OTEKO
About the Company
OTEKO implemented a custom solution for conducting introductory briefing and electronic courses on sensor terminals for employees of contractors.
OTEKO is an operator of marine terminals in the port of Taman, one of the leaders RUSSIAN FEDERATION in the bulk and bulk cargo transshipment market. OTEKO unites companies with unique competencies in the design to construction and operation of marine terminals, federal port property, and railway infrastructure.
Task
- training of contractors' employees (mandatory induction briefings, appointment of training, self-appointment courses) at ECEC sites
- collecting and electronically storing signatures of trained employees
- taking into account the passage of mandatory induction training
Decision
- installation of sensor terminals that allow the necessary training and collection of signatures of trained employees
- authorization from the touch terminal in the Websoft HCM system
- collection and storage of training reports
What they did
Two types of terminals were placed at the OTEKO sites:
- For mandatory induction training
- For assigned training and self-assignment courses
The terminals installed a developed portal page based on Websoft HCM. The page interface differs depending on the type of terminal.
Step 1. Generation of training lists
Only pre-registered users in the Websoft HCM system can log in to the terminal. You can load them into the system in two ways:
- From the external Dominion system using the developed API methods.
- Those responsible for training from contractors form a list of employees according to a certain structure in the Excel file and transfer it to the ECD. ECO administrators download a directed list using a developed agent.
In each of these options, it is possible to automatically specify in advance which courses will be assigned to each employee.
Step 2. Authorization
To begin training, the user needs to log in to the terminal. This happens by phone number - a form with touch input is displayed on the terminal screen, and the employee receives an SMS code:
At the authorization step, consent to the processing of personal data is collected - after clicking on the "I agree with the processing of personal data" button, the corresponding check box is put in the user's card.
This step also implements the "idle mechanism" - if there are no actions for a certain time, the system automatically returns the user to the authorization page.
Step 3. Training
Induction Terminal
If the user has not previously received an induction, he will be able to log in at the corresponding terminal and see the instructions assigned to him.
The briefings consist of two sections: video material and testing on it.
Testing includes a certain number of attempts, which can be changed in the administrator interface. If the test is successful, the system will inform you that the course is complete and forward it to the result confirmation page.
If the test fails, the system will offer another attempt (up to the number set by the administrator). If unsuccessful attempts are repeated, the course does not go to completed, but is reassigned.
If the employee has already passed the introductory briefings, then he will no longer have access to the terminal for briefing. This is done so that employees do not occupy the terminal intended for induction.
Training terminal
The main page here is somewhat different - a block with already assigned courses and a block for self-assignment are displayed:
This page is a flexible administrator tool that allows you to easily assign or remove courses from users at any time without involving a developer.
In each course, two sections (as well as on terminals with introductory instructions) are video material and a test.
If the employee "fails" the course, the system will inform you that the knowledge test has not been passed, and will offer to either take the test again or return to the main page.
Step 4. Confirmation of training
The employee must confirm his/her course result with his/her signature. To do this, he leaves his signature on the terminal's touch screen:
After the user signs, the system will save the picture in the required format as a database resource, in which it will create a link with its completed course.
All course results are saved in the system, so there is no need to re-obtain the tolerance if the user visits the site again.
The briefings have those responsible for their conduct from the contractor or from the ECEC. They also confirm the completion of user training with their simple electronic signature. It is configured in Websoft HCM once by ECEC administrators and then automatically inserted.
Step 5. Logging and Reporting
Summary reports for introductory briefings can be viewed by training and by contractor.
By clicking on an employee in the list, you can see in more detail which courses are assigned to him and which have already been completed.
Results
As a result:
- Contractors can be trained and trained directly on site. This can be done on installed sensor terminals.
- At the same time, signatures confirming the completion of training are collected and saved. Training logs are maintained and training reports are displayed.
- Thus, only those employees who have successfully completed the necessary training receive access to the sites.
