"Management for GOChS of Barnaul" passed to EDMS "DELO"

On December 13, 2017 the EOS Group company reported system implementation of electronic document management in the Office of Civil Defense and to emergencies of Barnaul. EDMS "DELO" of EOS Group company (Moscow) became the solution selected for automation. The project is implemented by KS-Consulting LLC.

Management for civil defense and emergency of Barnaul bought jobs of the CASE system. The employee of a reception, the chief of the general department and the specialist of IT department became users. In the course of setup of a system all necessary document groups (entering, proceeding, citizens' appeals, administrative documentation were got). The reference book of the external organizations, the nomenclature of affairs, the internal reference book by officials are entered in the database. Also specialists of KS-Consulting carried out setup of rules Comecon: approval of reference books of EDMS of participants of interaction, filling of reference books Comecon, exchange testing. At determination of rules of document registration additional systems capabilities are used: automatic filling of some fields of a registration card, allowing to facilitate as much as possible work on data entry is configured.

Training of users became the next stage of implementation of EDMS. In learning process, considering registration procedure of the documents coming by e-mail, the staff of Management and specialists of KS-Consulting jointly decided that it is reasonable to pass to the MS Outlook e-mail client. Advantage of this client in this case that he is easily integrated with EDMS "DELO". It allows to facilitate and accelerate registration of the documents arriving by mail (to configure it in the automatic mode), and sending by e-mail can be done directly of the workflow system.

The CASE system in Management for civil defense and emergency of Barnaul is brought into operation in November, 2017. Specialists of Management note convenience of work in a system, especially noting that functionality which was not in earlier used EDMS: an opportunity to set sheaves between documents, automatic formation of reports on performing discipline and volume of document flow by the set parameters, maintaining information on write-off of documents in business, control of completion dates of instructions, etc.
