OneMed Ltd is included into the OneMed group which performs the activity in the countries of Scandinavia, in the Baltic and also in Poland and the Czech Republic. OneMed works in Latvia in 1998 (till 2007 the company was known under the name Tamro MedLab). OneMed delivers reliable and high-quality products and services to professionals in the field of medicine and to patients for security and efficiency of health care. According to the managing director Olafs Gutmanis, the company aims to become the leader in the industry and to have the greatest number of specialists.
Epicor iScala implementation
OneMed began use of a system for resource management of the enterprise (ERP) of Epicor iScala in far 1998 when the company was included into Tamro. "We expanded use of technologies and the software together with business growth, – Olafs Gutmanis, the managing director of OneMed Ltd says. – The solution iScala passed through structural and procedural changes in our company, and every time when we had to deal with changes, a system adapted to our needs without any essential complications. Our relations with Epicor in something are similar to defects – both parties make a compromise for achievement of a common goal".
Gutmanis explains: "iScala as a system – is logical and clear, however we had some problems right at the beginning when we for the first time implemented it, and we even considered the possibility of change of the software. Today we are glad that did not make it, and after cooperation with the local partner of Epicor LAK 4 a system completely conforms to our requirements. We are very happy with work of LAK 4, including consulting and support".
OneMed totals 11 users in Latvia, and only 20 in the Baltic region. Olafs Gutmanis explains that thanks to iScala all business processes work smoothly, at the same time data on transactions are in easy access that facilitates process of accomplishment of routine tasks. Initially the iScala system was used for conducting accounting, financial management, inventory management and sales.
After implementation the volume of paper work considerably decreased, and all tasks became automated – everything became quickly, conveniently and clear. In spite of the fact that turnover of the company in 2011 made record 3 million Latvian lats, it is enough to it to have in the state only one accountant for management of routine tasks.
Drawing up reports for business planning
Today iScala is used for all business cycle of the company, from financial management, payroll, customer relationship management and control by stocks before sales management and purchases and also in forecasting and budget making. In fact, all processes of the company are controlled iScala. Information on each client is registered in iScala together with information on commercial offers, sales orders or purchase orders. The goods delivery is performed by DHL company as a third party.
OneMed also uses tools of a business intelligence (BI) for the analysis of structural data, on the markets and commodity segments to check results in real time for each group at a given time and to predict future results for budget making and planning according to these potential results.
Gutmanis comments: "I can imagine clearly how reports for support of planning of our organizational activity should be structured. For example, the analysis of indicators of sales by different criteria, such as time, customer groups and groups of stocks depending on delivery location. The analysis for the purpose of determination what product makes for more profit and what is on sale worse is also important. Usually I request this information from our consultants, and they make reports, using the available business intelligence tools. The employees working in the Baltic States prepare reports, the including data on the planned sales, and our BI tool integrates them in a unified plan for all region of the Baltic".
Solution for any task
The most difficult task for OneMed was the organization of the central warehousing for the Baltic States. It was necessary to integrate three separate companies iScala, to synchronize stocks between three countries, to implement functionality of the central warehousing and at the same time to deliver products from the central warehouse which is in Jelgava, Latvia, instead of use of the warehouses which are in other countries. And all this needed to be made without sales process violation.
On project implementation – planning prior to sending products from the central warehouse of the city of Jelgava – was avoided by four months. Today all staff of the company working in the Baltic States places orders for the main warehouse. After that preparation, packaging and the product delivery to the customer in the region is performed.
Answering a question of future tasks, Olafs Gutmanis says that the available functionality of iScala is so good that they are not going to make any significant system changes, and, most likely, will make internal organizational changes for maintenance of growth of trade volumes in the region.
"iScala has several advantages, – Gutmanis says - the Solution is convenient in use, and it is important because the ERP system should simplify our routine tasks, but not do them more difficult. A system has excellent structure and flexibility, we can add or delete modules as we want and when we want it. The Epicor command and its local partners have wide experience and know a system therefore it is easy for us to work with this company as vendor. Also iScala has ample opportunities on customization, it is easy to integrate it with other applications. The software is capable to change quickly, when necessary, for example, at change in a part of the VAT and other tax changes that if necessary can be implemented within several hours. iScala reacts as quickly as our Government makes new budgets! If any law is adopted today, the iScala setup for implementation of these changes is possible already next day. It is really safe and reliable choice. Among other advantages of iScala there are convenient documentation and excellent perspectives. We know that thanks to iScala our organization will sustain check time", - Gutmanis emphasized.
