Tomskgazprom upgrades EDMS

On February 27, 2014 the Optima group announced project completion of upgrade of an electronic document management system in JSC Tomskgazprom. The project was implemented by structural division - Optima Software company. The electronic document management system is implemented on the OPTIMA-WorkFlow platform.

Project Tasks

In 2000 Tomskgazprom purchased licenses for a software platform of OPTIMA-WorkFlow v.1.16 with which specialists of the company created and implemented EDMS.

In 2013 there was a question of upgrade of the EDMS functioning on the obsolete platform. A choice is made by competitive selection for benefit of the OPTIMA-WorkFlow v.1.19 platform.

Updating of EDMS supposed to solve problems:

• optimization of methods and working methods in the field of documentary ensuring management with it is applicable the web focused technologies of document handling;
• integration of EDMS with the ERP system of the enterprise;
• expansion of a range of functionality of EDMS and improvement of its utilization properties at simultaneous decrease in total cost of ownership an automated system.

Project Progress

Started the project in the fall of 2013. During the project processes of hands-off processing of different document types are optimized:

• the entering and outgoing correspondence,
• organizational and administrative and contractual,
• personnel documents.

The project is carried out according to regulations of the customer.

Within the project data migration of earlier processed documents and the normative reference information is made, the automation equipment of formation of the versatile operational and analytical reporting is developed.

Project Results

For February 27, 2014 users of the upgraded EDMS - 300 employees from all structural divisions of JSC Tomskgazprom.
