In October, 2010 the implementation project of an electronic document management system and interaction management of DIRECTUM in "The Orenburg drilling company" began. Works on implementation are carried out by the Certified partner of DIRECTUM – Direktsoft company.
All works performed by the company are made according to the Russian standards and the international standard API. Accomplishment of technology regulations is strictly controlled that requires the corresponding documentary support: creation and regular updating of various provisions and instructions, release and control of execution of organizational and administrative documents which volume constantly grows. In addition, many divisions of the company work with a large number of documents on contract activities that creates additional load of employees. In the conditions of a staff increase and expansion of geography of presence the management of Biological Monitoring Department LLC made the decision on need of automation of work with documents using an electronic document management system.
At a stage of the choice of a suitable system representatives of the company considered several developments in the field of EDMS. Special attention was paid to completeness of functionality, scalability and opportunities of geographically distributed work. As a result the management of Biological Monitoring Department LLC stopped the choice on an electronic document management system and interaction managements of DIRECTUM which opportunities allowed not only to automate key business processes on work with documents, but also to build in a system the existing infrastructure of the enterprise. As the contractor on the project the Certified partner of DIRECTUM was selected from Orenburg – Direktsoft company.
The implementation project of a system started in September, 2010. The project team from the customer included representatives economic and IT services and also accounting of Biological Monitoring Department LLC. The tasks of automation of the following processes were set for group:
- maintaining uniform electronic archive of documents;
- registration of outgoing and incoming documents and pronouncement of resolutions;
- acquaintance and control of execution under orders and orders;
- work with memos;
- organization and holding meetings;
- contracted work;
- works monitoring according to requests of divisions.
The project solutions aimed at accomplishment of these tasks will be based on functionality of the Basic modules DIRECTUM and also modules Office, Contract management, Management of Meetings and "Management of Performance Indicators".
It is planned that in a project deliverable in the DIRECTUM system 170 employees of all administrative departments of the enterprise including being in geographically distributed offices of the company will work at the same time. Interaction of remote workers will be organized using services of interaction of the DIRECTUM systems (DIRECTUM Intersystem Cooperation Services).
Project completion of implementation is planned for December, 2010. Within further development of a system interaction of DIRECTUM with the ERP system of 1C:Enterprise 8 due to use of opportunities of the connector from a set of integration tools – DIRECTUM Integration Toolset will be configured.
