March 19, 2015. The SKB Kontur company reported[1] about system implementation of electronic document management in Petersburg Sales Company based on the Kontur.Diadok system.
Goals and Objectives
Petersburg Sales Company services more than 42 thousand consumers — legal entities to whom more than 1.2 million documents a year send. Before implementation of e-document flow the company sent documents through banks and Russian Post. Also consumers received them personally in the client hall of office of the supplier. Delivery date of documents made from 3 to 10 days. The company set a goal to optimize consumer service and also to achieve significant savings. Having passed to electronic document management, Petersburg Sales Company could implement assigned tasks.
According to the representative of Petersburg Sales Company, it was simpler to pass to e-document flow, than it seemed. In parallel with implementation the company conducted work on informing consumers on transition to e-document flow and how to be connected to it. Consumers received notifications together with a packet of paper documents, leaflets in client halls. For them the training seminars were organized.
Result
As a result the company achieved the main objective: optimize consumer service. On a response of the customer, delivery date of documents to consumers was reduced from several days to 7 seconds. Thus, the task of economy is carried also out. Specialists counted: when more than 50% of partners of the company are ready to exchange documents in electronic form, annual economy will make more i5.5 of one million. Not less important for the company became also the fact that automation of preparation and sending documents increases labor productivity of employees. This work began to occupy less than forces, time for accomplishment of other duties was released.
During operating time in the EDMS "Petersburg Sales Company" sent more than 100 thousand electronic documents. Now it conducts electronic document management more than with 1.6 thousand partners.
