The RITs-1C company constructed an electronic document management system in one of the largest wholesale pharmaceutical enterprises of the Urals - SUE SO Pharmation.

The 1C: Document Flow 8 software product is taken as a basis. Using the solution "1C: Document Flow 8" correct interaction of different services of the enterprise is provided. A new system is unrolled in 250 workplaces. It allowed to reduce time for search by employees of information necessary to them, to exclude a possibility of loss of documents, to increase performing discipline of employees.

SUE SO Pharmation it was founded in 1913. Today it is 97 drugstores and pharmaceutical points located in many cities of Sverdlovsk region. Corporate objectives are: the solution of social tasks by implementation of the state Federal and regional programs.

At the enterprise desire to increase efficiency of decision making was a basic reason of system implementation of electronic document management. The majority of solutions was made out in paper form and transmitted from one division to another. At the same time the initiator had practically no information on where at the moment there is a document. It is clear, that the solution (or approval) can take several minutes, but the document could be in division, expecting an opportunity to be transferred to the next stage of approval, for a long time (up to several days and weeks). In each department existed "responsible" which "ran" on the enterprise with the purpose to advance further the document. Increase in efficiency in approval of the document required direct participation of the initiator in the course of transfer of the document between divisions. It is obvious that it strongly distracted specialists from the solution of more important tasks. Among other reasons it is possible to select also especially need to cut down expenses on paper which make the essential budget item.

As the software product for implementation of the above-named tasks the solution of 1C Company "1C: Document Flow 8 CORP" because of rather low cost of licenses, flexibility of a configuration, availability of specialists in its maintenance was selected.

The partner in implementation of the 1C: Document Flow 8 CORP software product selects RITs-1C company which is Competence Center on document flow of 1C Company to Yekaterinburg.

As a result of the first stage of an implementation project under automation all divisions of the central office of the enterprise got. The main objective was to automate cross-functional interaction on all variety of operational issues. At implementation of document flow the task to use "1C: Document Flow 8 CORP" for processing of e-mail was set. In the first day of the project specialists of RITs-1C company transferred 200 mailboxes of staff of the enterprise to the 1C: Document Flow 8 CORP system — it forced all users to master the interface of the program at once. At the moment employees have an opportunity to browse in one window both notifications within document flow, and contents of e-mail.

In April, 2014 a system was brought into commercial operation. At the moment in the 1C: Document Flow 8 CORP software product 250 users work.

  • Processes of the movement of documents
  • Accounting and control of execution of instructions
  • Maintaining archive
  • Differentiation of access rights

The main results of system implementation "1C: Document Flow 8 CORP" are:

  • reduction of time of approvals of documents (now movement of documents is performed instantly);
  • there was an opportunity to trace, what is the time the document expects consideration at the specific user that in itself is an essential incentive for operational decision-making;
  • it is almost instantly possible to get access to the necessary document transferred to electronic archive;
  • all orders and orders are led up to divisions and employees without delays.

Ghost effect from implementation was the fact that now it is necessary to register extremely accurately changes in regulations of document flow, they "are immediately put" in a system by forces of staff of the enterprise.
