2023: Implementation of Construction Project Management System

On September 15, 2023, ADVANTA announced the introduction of a construction project management system for RKS-Engineering.

As reported, as of September 2023, more than 2,500 projects are underway at RKS-Engineering. They can be divided into two types: the first, when the company performs work on its own, and the second, when it attracts a contractor. With the advent of its own construction, it became necessary to daily monitor the number of units of equipment and personnel at the sites, as well as the volume of work performed. We needed practices on project management, including risk assessment and elimination, in order to take into account deadlines for contractors or suppliers, absenteeism of employees, etc. In addition, the customer wanted to manage costs: calculate the cost of projects, and, as a result, analyze their marginality. It is difficult to control such processes manually, so the company decided to implement a project management system.

At the end of June 2023, a representative of the general contractor contacted ADVANTA. The company's management was not satisfied that the projects lacked transparency: the schedules are carried out separately - in Excel or in notebooks. Because of this, there is often a misunderstanding about the areas of responsibility of various departments. The schedule for the implementation of projects is fixed only in contracts, but it is simply impossible to track on paper at what stage of implementation the project is now and whether there are any deviations from the plan.

The system forms a single project register with a hierarchical structure. For each project, you can create an electronic project passport and flexibly configure its details, and then use it as a template for quickly deploying a group of the same type of projects. As a result, all participants, including customers, will have access to a single data source.

With ADVANTA, it will be easier to monitor the progress of the project. It is enough for the foreman to go into the system and enter the necessary data: physical indicators of work performance, the number of personnel and equipment on the site. The system verifies the plan with the fact and generates a report that will allow the site manager to adjust resources and, if necessary, eliminate the backlog of projects from approved plans.

Dashboards with an indication of the critical level of indicators online broadcast to the company's top management the current status of project work and possible risks. The red indicator will inform you about existing problems on projects (for example, a deviation in terms of dates or exceeding the budget).

Control points record the terms of the person responsible for the result, as well as the receiver who will confirm that the result meets the requirements. The tool will allow you to analyze how effectively the project path has been chosen and, in general, reduce the backlog from the planned deadlines.

In ADVANTA, contract data, work deadlines and payment schedules are linked and maintained in one place. The financial module will help you match the actual and planned costs of the project and form an analytics for proactive decisions. When the work schedule is updated in the project, the financial plan will be recalculated automatically. ADVANTA plans to complete the full implementation of the system in RKS-Engineering by mid-October 2023.
