RosLogistics passes to electronic interaction with partners

The SKB Kontur company announced in July, 2012 project implementation on implementation of electronic document management (e-document flow) through the Diadoc system in logistic company RosLogistics.

The project started in the middle of April, 2012. In May exchange of electronic acts of MX and warrants for receipt of a load with one of clients of the company was started, and at the beginning of summer RosLogistics exposed the first electronic the invoice. The company provides a full range of logistics services in all territory of Russia since 2002 national and to the FMCG international companies, excise and telecommunication sectors, hi-tech, retail, etc. it is aimed at continuous improvement and automation of logistic business processes and also use of advanced technologies, says SKB Kontur.

"The staff of RosLogistics company throughout long time watched closely all changes in the legislation on electronic documents. When it became clear that before start of electronic invoices there were few days, the decision to begin the project on transition to electronic document management with partners of the company was made. As a system for exchange of electronic documents the company selected the solution "Diadoc"" — Anton Sizov, the Diadoc project manager of SKB Kontur told.
"Implementation of electronic documents in RosLogistics will allow to offer clients new information services — Anna Novikova, the marketing manager of RosLogistics noted. — Using electronic documents we expect not only to save on paper, archive and couriers, but also it is more convenient and more productive to make interaction with our partners".

In April, 2012 the RosLogistics company prepared infrastructure of a pilot project: certificates of the EDS are received, integration of the Diadoc system with the financial accounting system is carried out that allowed to make out and sign finance documents directly in a system, employees are trained, the corresponding regulations are prepared. At the beginning of May electronic exchange with one of clients of the company started. Warehouse unformalized documents became the first documents signed with the EDS: acts of MX and warrants for receipt of a load. In June from the financial accounting system the first formalized documents were sent: accounts, invoices, acts.

At the moment RosLogistics exchanges different types of the documents used in joint business processes with clients. Process of sending all formalized finance documents is completely automated. The client can receive not only the legally significant document in electronic form, but also at once load it into the accounting system, without spending time for manual entry of data. Warehouse documents (acts of MX, powers of attorney) are at the moment not formalized legislatively. The staff of RosLogistics company prepares such documents in the WMS system, signs the EDS and reports to clients, using the web client's mechanism "Diadoc".

During the third quarter 2012 the RosLogistics company is going to upgrade the warehouse management system AWACS.

"The purpose of upgrade is full automation of process of sending, signing and obtaining unformalized documents with the electronic digital signature on warehouse transactions directly from a warehouse management system" — Baskakov Pavel, the director of the department of IT of RosLogistics reported. — We will also conduct active work on involvement of our clients and suppliers in electronic document management on joint business processes".
