Content

On January 23, 2014 it became known of system implementation of electronic document management of DIRECTUM in Royal Taym Group company. The project was implemented by MiTek company.

Project Tasks

For the purpose of development of internal technological effectiveness and increase in culture of interaction management, in March, 2013 the management made the decision on implementation ECM- systems DIRECTUM. Works were performed by DIRECTUM company – the company MiTek.

The scale of the projects implemented by Royal Taym Group required detailed planning of activity and management of financial flows. At specialists of Royal Taym Group company clear vision was had - well delivered work of contractual department facilitates financial planning. Therefore, one of tasks before a team of the contractor - a tough regulation of these processes on terms and distribution of areas of responsibility of each participant.

Project Progress

Assigned task implemented Contract management using business solution of DIRECTUM. Electronic approval of draft documents, a statement them using the mechanism of the electronic signature, a possibility of control of return of the document and maintaining the register of agreements became result of automation of contract activities. Also the mechanism of the analysis, a reminder and control of indicators is configured. It is possible to give the notification on the transaction as an example FULL FACE, providing documents for financial monitoring, execution of the transaction certificate in cases, when necessary.

Alina Faskhutdinova, the chief financial officer of Royal Taym Group, noted: "Owing to specifics of our business, we imposed strict requirements in the field of security to the implemented system and differentiation of access rights to information which is stored in it. Also competent process optimization of interaction and an accurate regulation of works was required. All these requirements were implemented within this project. It would be desirable to note a possibility of remote work of users through the web client as many of our employees often are in business trips, and it should not drag out process of approval of documents and accomplishment of especially important tasks".

Project Results

  • The effect of automation is gained in the field of approval of accounts and requests for payment. The transparency of a system provides employees with knowledge of location of the document and effected payments.

  • Work with documents, tasks and tasks is conducted in a common information space, access to which employees can get from any place in the world. This criterion one of key when choosing a system, considering remoteness of investment objects from each other and traveling kind of work of specialists.

  • A system covers processes of personnel office-work and work with the entering, outgoing and internal documentation (memos, orders, orders). With creation of the structured electronic archive the risk of losses of documents significantly decreased, confidentiality increased.

Development of a system is supposed. Specialists of MiTek company started works on automation of personnel processes. In a system will be connected to work as well remote divisions of holding.
