The most important activity of Rurik Management management company – work with service providers and materials for design and construction of facilities of a commercial real estate and also the organization of management of these objects. For implementation of many projects tenders based on which suppliers of goods and services are defined are held. In a case with the Rurik Management company which is engaged in management of reconstruction and construction of buildings in the historic center of the city, maintaining any project becomes complicated additional approvals of KGIOP and other instances. Therefore, the quantity increases and the level of complexity of chains of transactions with documents increases.
The most important tasks of Rurik Management company consisted in solution of the problem of management of electronic document management and coordination of interaction of employees with suppliers at each stage of work. It concerned both maintaining agreements, and work with accounts. It was required to create convenient storage system of all document types. All these tasks were successfully solved by means of the program "PiterSoft: Process management".
Implementation of the program "PiterSoft: Process management" happened over three months: from June to August, 2012. During this time the command PiterSoft together with a command of Rurik Management developed and brought into commercial operation the main business process on work with suppliers. The staff of both companies adjusted effective electronic document management, organized and provided user training to work with process and certification for work in a system. 15 jobs were in total automated.
A system was brought into commercial operation on August "27", 2012.
For Rurik Management company the electronic archive on 120 different types of the documents necessary in work of the developer of the real estate was configured. Each document in archive is numbered automatically and receives a name according to the set rubrication. Important advantage of electronic storage consists that, in addition to the final document revision, also all remain previous to which it is possible to return in case of need. Besides, need disappears to spend time for uniform document creation, their search or search of information which is contained in them, sorting of papers, etc. The implemented system allowed to improve work with numerous agreements and accounts.
In an individual order the process suitable for the solution of specific objectives of the client – organized vendor interaction including within tendering process was developed for Rurik Management company. So, business process the "Agreement with the supplier" automating step-by-step work with documentation and technical specifications when choosing the contractor of the order was implemented and started. Business process allowed to adjust the coordinated work of employees. Feature of process is its variability: from certain points of a route several options of its development including agreement cancelation are provided.
For Rurik Management the corporate Web server and the system of internal hyperlinks in letters notifications was configured. Thus, transition from the notice directly to result of a task considerably became simpler.
Besides, in a system there was a module "Configured Forms" allowing to change a basic template of a card of a task according to individual customer requirement.
Implementation of specially developed version of the program "PiterSoft became innovation: Process management", adapted for operating systems of Apple. This current trend becomes more and more popular in the different countries of the world, however in Russia is still insufficiently widespread. Rurik Management became one of the first companies in which such option of a program runtime was implemented. Advantage of the adapted version is that the user is not "hostage" of Windows and can participate in process management from the iPhone mobile phone or the iPad tablet.
