2024: Transition to EDMS "Etla" version 7.0
The company "Russian River Register" has completed the transition from the electronic archive system to the electronic document management system "Etla," and also expanded the number of workplaces. Representatives of the company "Etlas-Soft" reported this on August 16, 2024.
The Russian River Register is a federal autonomous institution that classifies ships and floating objects and performs their examination. The organization is registered with more than 23 thousand ships and facilities. The institution has a complex organizational structure, which includes the Main Directorate and 14 branches located on the internal water basins of the Russian Federation. Active interaction is underway with other organizations, private individuals who own ships and facilities, which are taken into account by the Russian River Register.
Due to the specifics of the activities, the institution is forced to work with a whole range of documentation. To automate the processing of documents, it was decided to switch to the electronic document management system "ETLA" version 7.0.
Earlier, the Russian River Register company has already used an electronic archive, but the archive is focused more on storing and recording documents, and not on working together with them. As a result, there was a need to expand the functionality of the system.
According to Etlas-Soft, the ETLA electronic document management system completely covers the company's needs for the tools necessary to work with documents of any type. The system is simple and convenient. Its use allows:
- create and register documents, which greatly speeds up work with them;
- automate a whole range of processes that were previously executed manually;
- competently organize the movement and control of the execution of documents;
- Ensure that documents are stored and quickly searched for the required files
- maintain a history of changes made to the document;
- ensure the required level of security and data security;
- delimit access to information, and use a qualified electronic signature to confirm authenticity;
- receive notifications about the passage of the document, as well as its status;
- Import and export documents, including paper version scans
- maintain the necessary logs, monitor the deadlines, and generate reports.
The introduction of the system increased convenience and reduced time to work with company documents. All incoming cases and documents fall into the same system, which makes it easier to find the necessary data. In addition, tools for monitoring the deadlines for the execution of documents are provided. Their presence reduces the risk of missing the established deadlines, allows you to track the activities of employees.
The system also made it possible to organize an orderly movement of documents between the company's branches. This significantly reduces the risk of confusion, allows you to act clearly and quickly. As a result, the processing time for documents has been significantly reduced.
The system allows you to significantly expand the existing functionality. Additional modules are used for this. There is an opportunity to adapt the system to the personal needs of the customer. The system develops and updates are regularly released, which are supplied as part of technical support.
