In 2012 IT service FBGOU Higher Professional Education "Ryazan state university of S.A. Yesenin" by own efforts executed the project on automation of work of selection committee at the university, having implemented the 1C:University system.
Base
By the fall of 2011 the management of the University made the decision on creation of the unified information system of management of the organization. For this purpose the solution "1C:University" on a technology platform of 1C:Enterprise 8 was selected. Project implementation was charged to university IT service. At the first stage it was decided to automate work of selection committee as it is one of the hottest sections of educational institution. In the spring of 2012 IT specialists of university carried out implementation of 1C:University to the shortest possible time and in June a new system was used at acceptance of entrants.
Result
Earlier it was necessary to employees of selection committee at the end of each working day actually manually to sum up the result on the received applications, further the complete information according to the results of activity of selection committee gathered by means of merge of databases from all computers of technical secretaries. For this work several days were required. Now in the 1C:University system any necessary report forms in a few minutes.
A new system allowed to get rid of labor-consuming manual processing of large volumes of data. Now according to biographical particulars of entrants the program creates the list the allowed to examination and examination sheets. Upon termination of entrance tests and putting down of estimates a system carries automatically out the analysis of results of examinations to sheets and creates lists to transfer taking into account different advantages (privileges, results of the Olympic Games, etc.). At the same time the fact of providing by the entrant of originals of documents on secondary education is considered, and for students who will study at a paid basis – the agreement and the fact of payment of training is registered. Using the convenient mechanisms of integration provided by the 1C:Enterprise 8 platform IT specialists of university connected earlier implemented "1C: Payroll and Budget institution staff" system with the 1C:University system. Automatic data exchange between 1C:University and the intra high school system of admissions is also adjusted that allowed to support always base of admissions of employees and students of university in current status.
On the next stage it is going to expand a scope of 1C:University, having used a system for complex automation of educational and methodical management, the center of employment, departments, dean's offices and other divisions of the University.
Eltsov Anatoly Viktorovich, the vice rector for informatization of education and distance learning of FSBEI of a Higher Professional Education told RGU of S.A. Yesenin: "We are sure that 1C:University will take the worthy place in most universities of Russia in the near future, will change style of work of employees and teachers, will provide complex automation of work of different divisions. It is always hard master new, but we are sure of correctness of the choice".
Zhmurova Natalya Vladimirovna, the responsible secretary of the selection committee noted: "1C:University system" allowed to simplify work of selection committee, to considerably increase efficiency and to reduce the temporary costs arising at manual processing of large volumes of the data coming to the hot period of a receiving campaign. Now there is no unnecessary duplication of information, the quantity of the errors connected with a human factor was considerably reduced. The opportunities of quick search and information analysis given by a new system allow to calculate that we will have no problems with the organization and control of receiving campaign 2013. We are grateful to IT staff of our university for the automation of work of selection committee executed in short time, high professionalism, the operational solution of technical and organizational issues, we hope that our experience got at implementation will appear to useful and other universities".
