End of a vedreniye of a corporate portal
In the fall of 2017 Unicsoft company, the partner of Electronic Office Systems (EOS) company, it became known[1] of project finish of implementation of a corporate portal based on the SharePoint platform for "Sowing. P.Development".
Creation of a corporate portal became the next step on the way of automation of internal business processes of the company. Earlier with direct support of the supplier of the solution on an electronic document management system "Sowing. P.Development" performed transition to more convenient and functional ECM system based on SharePoint that yielded positive results (process of approval of documents was automated, the electronic storage is created, convenient access to a system for external users is provided). However growth of the company caused questions which part the corporate portal helped to solve.
For creation the intranet resource the technology platform of SharePoint which is already unrolled at us was selected: it approached in all respects – reliability, fault tolerance, functionality, appearance, terms of development and deployment.
The modern individual design considering the corporate style of the company was developed, all required functionality is implemented, integration with an electronic document management system and other IT-systems is carried out.
The portal consists of different thematic blocks, beginning from the section on the company, the guide to divisions, the reference book of projects and employees and finishing with the knowledge base, the press center, services for polls and publications of the ideas. Each block includes a set of useful information, for example, in the reference book by employees, in addition to a contact information of specialists, it is possible to look at the status of their presence (there is a person in office or on an object), a birthday, a workplace on the floor-by-floor plan of office, belonging to division in structure of the company and many other things.
Implementation of a corporate portal
On November 14, 2017 the Electronic Office Systems (EOS) company announced project completion on implementation of a corporate portal based on the SharePoint platform for the company "Sowing. P.Development" therefore the customer received a unified working environment for all employees.
Creation the intranet resource in Severin Development — logical continuation of the project on automation of internal business processes implemented earlier in Severin. So, at the end of 2015 the company passed to a management system for information resources of the enterprise (ECM system) based on the SharePoint platform. Software provider the EOS Group company, as integrator — her partner — Unicsoft company acted. Process automation of approval of documents, creation of electronic storage, ensuring convenient access to a system for external users, etc. became a result of start of ECM solutions.
Project Tasks
Within development of a corporate portal the emphasis was placed on optimization of internal communications.
The customer saw main goals of a resource in the following:
- creation of the "single window" integrating all information systems;
- optimization of communications between divisions;
- fast informing on news and events;
- reduction of time expenditure on collecting and providing different data;
- automation of the routine processes connected with the movement of information;
- ensuring feedback coupling (polls, ideas);
- acceleration of adaptation of new employees and their socialization;
- ensuring the structured storage of the normative reference information and documentation with a user-friendly interface for access to it; and so forth.
Choosing a Solution
The choice for benefit of a technology platform of SharePoint for the web portal was defined by several factors. Except requirements on Wednesday of deployment, reliability, fault tolerance, existence of ready functionality and reasonable times of implementation, the individual design considering the corporate style of the company was necessary for the customer.
The module "Corporate Portal based on EOS for SharePoint" approached in all respects.
Project Progress
Creation and implementation the solution intranet took about 4 months. For this period idle time and the intuitive interface was created, the functionality is adapted for needs of the customer and integration with EDMS and other IT systems is performed.
Project Results
The web portal the guide to the company (the websites of divisions), projects (a portfolio of the company), "honour roll", the ideas, employee surveys, the press center (news feeds, events, gallery), requests included such thematic blocks as information on the company, the floor-by-floor plan of offices, the reference book by employees in EDMS, the section for the new employee, etc. (with filters).
According to Pavel Vasilyev, the head of department of information technologies of Severin Development, the created portal combines in itself functions of media space for employees and the centralized storage of the structured information.
2015
Implementation of EOS for SharePoint
On February 29, 2016 the press service of EOS Group announced start in December, 2015 EOS for SharePoint in Sev. P.Development LLC. Contractor and Unicsoft LLC software provider.
Start of Project
Sev. P.Development LLC has branched structure – except six departments of the central office, 13 remote divisions participate in document flow. On date of inspection of business processes the total amount of electronic document revisions on relevant projects reached 1.5 TB. According to the customer's specialists, in the course of activity of the company in a year about 900 GB of different documents were created.
Each department created of them thematic folders. By the time of inspection of a system more than 90 thousand folders in which about 800 thousand files were stored are created.
When choosing an automated system for corporate content management which replaced the solutions used earlier the set of ECM systems presented at the market was considered.
Three factors were in a complex considered:
- price of the software product;
- cost of services of implementation;
- readiness of functionality (a minimum of completions under specifics of business processes).
According to customer representatives, corresponded to set of criteria ECM- a system EOS for SharePoint, EOS GROUP the portal solution developed by the company. As the contractor of the project the company "Unicsoft" with which in August, 2015 the customer signed the delivery agreement software and implementation is selected.
Project Progress
At a stage of preparation for implementation the project team of Unicsoft LLC analyzed initial data:
- document flow volume,
- business processes and structure of document groups, work with which was supposed to be automated.
According to the results of the analysis and inspection recommendations about adaptation of the existing document flow under the technology scheme (a possibility of the platform and EOS for SharePoint), on architecture and the hardware for deployment and on expense optimization on implementation are issued.
Deployment of a system, setup, training of employees, testing of the solution, elimination of notes took about four months. During implementation the customer formulated about 140 questions and wishes, the majority of which is implemented in EOS for SharePoint.
Project Results
The customer company received the automated managerial document flow. Work with draft documents, tasks, management of meetings, a number of the accompanying business processes are automated.
As a result of implementation ECM- systems EOS for SharePoint in Ltd company "Sowing. P.Development" are automated processes of approval of the majority of documents, reference books (the organizations, document types, etc.) and documentary focused business processes are unified (including management of meetings), access for external users (remote divisions) is organized.
Start of a system in operation happened on December 15, 2015.
